Responsibilities :
Serve as the main point of contact for all new ABA therapy referrals.
Conduct initial outreach calls to families and referral sources.
Guide families through each step of the intake process — including documentation, eligibility, and scheduling.
Oversee insurance verification and authorization processes for new clients.
Coordinate communication between families, clinical staff, and operations teams.
Track and manage client status to ensure timely service starts.
Maintain accurate records in internal systems and follow up consistently to avoid delays.
Develop trusting relationships with families through empathy, clear communication, and follow-through.
Identify barriers preventing clients from starting services and collaborate on solutions to move them forward.
Qualifications :
1–2+ years of experience in ABA operations, client intake, or healthcare coordination.
Strong understanding of the ABA Therapy Care Coordinator’s role in guiding families through the full service process (referral → assessment → authorization → service start).
Exceptional interpersonal and communication skills — both written and verbal.
Ability to manage multiple families and cases at once while maintaining attention to detail.
Organized, self-motivated, and able to work independently within a fast-paced environment.
Proficiency in Microsoft Office, Google Workspace, and client management systems.
Must be in-office full-time at our Cedarhurst, NY location.
