Job Summary

The Accounts Payable Specialist is responsible for managing financial transactions related to vendor payments and expenses. As an integral part of the finance department, you will ensure accurate and timely processing of invoices, reconciliation of accounts, and adherence to financial policies and procedures.

Responsibilities

  • Enter and review invoices and check requests to ensure proper coding and appropriate documentation is received into financial systems (Workday)
  • Maintains supplier / vendor profile
  • Process weekly check / wire / ACH runs
  • Follows up on account statements and other discrepancies regarding payment of accounts
  • Obtain necessary approvals and signatures on checks and other payment documents
  • Collaborate with team members and outside suppliers to address any issues or discrepancies
  • Processes daily manual payments from multiple bank accounts / companies
  • Process high volume of invoices for multiple companies
  • Responds to inquiries from vendors and staff
  • Maintain confidentiality of sensitive financial information and adhere to regulatory requirements
  • Performs other related duties as assigned

Qualifications

High school diploma, General Education Degree (GED), or a one-year certificate from a college or technical school and five years related experience or the equivalent combination of education and experience. Prior experience specifically required :

  • A basic understanding of and a prior exposure to general accounting practices is preferred
  • Accounts Payable experience is required
  • Experience processing high volume of invoices is required
  • Knowledge of Microsoft office software
  • Ability to exercise good judgment and discretion in the performance of regular work

  • Proficiency in financial software and spreadsheets : Experience with accounting software and spreadsheets to accurately record and analyze financial transactions.
  • Analytical thinking : Aptitude for identifying discrepancies and resolving issues in financial records.
  • Communication skills : Effective communication with vendors, suppliers, and internal stakeholders.
  • Knowledge of accounting principles : Understanding of basic finance, accounting, and bookkeeping principles.
  • Dedicated : Committed to maintaining accuracy and efficiency in financial transactions.
  • Problem-solver : Resourceful in resolving discrepancies and improving processes.
  • Detail-oriented : Thorough in reviewing and documenting financial information.
