Job description

ADMINISTRATIVE ASSISTANT II - SES - 80052230

This position is assigned primarily to the DJJ Headquarters Lead Personnel Attorney and the DJJ Headquarters Lead Contracts / Children-in-Need-of Services (CINS) / Families-in-Need-of Services (FINS) Attorney to provide administrative and secretarial support in a variety of duties and assignments, including :

  • Drafting, reviewing, and proofreading routine legal documents, memoranda, and correspondence.
  • Maintaining and scheduling for attorneys' calendars.
  • Copying, scanning, and organizing documents for trials, projects, and meetings.
  • Answering office telephones; transferring calls; and taking messages.
  • Collecting and distributing mail, faxes, and packages.
  • Overseeing and maintaining the upkeep of office inventory and office equipment.
  • Reviewing documents and redacting confidential and exempt information.
  • Maintaining and updating the office records management systems; and
  • Performing other related duties as assigned.

Minimum qualifications include currently being employed by the Florida State Personnel System (SPS).

Knowledge, skills, and abilities for this position include the following :

  • Knowledge of office procedures and practices.
  • Knowledge of the principles and techniques of effective verbal and written communication.
  • Ability to use standard business formats and styles for letters and business forms.
  • Ability to use Microsoft applications (Word, PowerPoint, Outlook, Excel, etc.)
  • Ability to operate general office equipment.
  • Ability to handle confidential information.
  • Ability to use correct spelling, punctuation, and grammar.
  • Ability to establish and maintain effective working relationships with others.
  • Preferred qualifications include at least two (2) years of experience working in an office setting.

    Special notes include subject to a sex offender check, criminal background checks (state, local, and national) and pre-employment drug screening for direct care position.
