Title : Commercial Coordinator

Department : Chinburg Management

Reports To : Facility Operations Manager

Status : Full-time, 40 hours per week

FLSA Classification : Non-Exempt

Position Summary : The Commercial Coordinator supports the Facilities Operations Manager in managing the customer service and daily operations of Chinburg Management. This role helps ensure that company and property goals and objectives are achieved efficiently, economically, and professionally.

Key Responsibilities :

Commercial Tenant & Facility Management

  • Serve as a primary point of contact for tenants, addressing complaints and inquiries promptly with consistent follow-through.
  • Meet with tenants as needed for inspections, discussions, and issue resolution.
  • Coordinate lease renewal communications and assist with lease amendment documents when necessary.
  • Manage keys and maintain accurate tenant lists and directories.
  • Oversee tenant relationships throughout the lease lifecycle from move-in to lease end.
  • Manage delinquent rent reporting and provide regular updates for assigned properties.
  • Collaborate with the Vice President of Chinburg Management and Accounting to reconcile tenant accounts and process deposit returns in a timely manner.

Office Management

  • Manage all office-related purchases.
  • Keeping the restrooms and kitchen stocked with necessary products (paper products, cleaning supplies and kitchen supplies).
  • Checking our stock of all these items on a weekly basis and restocking as needed.

  • Manage the phone system and any revisions needed.
  • Schedule office cleanings.
  • Manage office equipment and repairs as needed.
  • Coordinate team lunches as requested.
  • Maintenance Assistance

  • Coordinate appliance orders and service calls.
  • Manage parking and special permits, ensuring accurate distribution to tenants.
  • Conduct parking lot patrols, tag unauthorized vehicles, and document parking violations.
  • Assist with coding invoices as directed by the Facilities Operations Manager.
  • Review building camera footage to identify thefts, accidents, parking issues, or suspicious activity; communicate findings to the Dover Police Department and security patrol as appropriate.
  • Prepare and distribute building notices as needed.
  • Support maintenance and facility purchasing, including tracking, and following up on undelivered packages.
  • Assist Commercial Managers with tenant turnovers.
  • Inspect vacant units for any visible issues and confirm that keys and parking permits have been returned.
  • Perform other duties as assigned.

    Education & Experience

  • High school diploma or equivalent required; associate or bachelors degree in business administration, property management, or a related field preferred.
  • 2+ years of experience in property management, facilities coordination, or administrative support (commercial property experience a plus).
  • Familiarity with lease administration and tenant relations preferred.
  • Skills & Competencies

  • Excellent communication and people skills with a strong customer service focus.
  • Strong organizational skills with exceptional attention to detail and follow-through.
  • Ability to manage multiple priorities in a challenging environment.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook); experience with property management software preferred.
  • Sound judgment and discretion when managing confidential information.
  • Ability to work independently and collaboratively with cross-functional teams.
  • Strong problem-solving skills and initiative-taking approach to resolving issues.
