Administrative Assistant ~ Health Department

This position provides reliable, supportive administrative services by assisting visitors and callers, registering clients, collecting payments, and preparing cash deposit reports. The role helps maintain accurate records and correspondence, coordinates appointments and meetings, prepares office documents, supports public health nurses, runs daily reports, and completes billing for clients and third-party payors. The employee is also expected to be available for community emergencies as needed and to assist with other responsibilities that help the department operate smoothly.

Answer telephones and personal inquiries, route visitors and calls to appropriate individuals.
Registers clients in computer systems and collects payment from clients. Responsible for the cash deposit report.
Secures and provides information, files, correspondence, records, and reports. Make appointments and arrange for meetings, prepare and maintain office records, reports, and forms containing statistical, personal, or financial information.
Assist public health nurses with various programs.
Performs other related duties as assigned.
Education and Experience : High School Diploma or GED. Five (5) years of experience, three (3) years as an administrative support. Proficient in computer applications.
Required Knowledge, Skills, and Abilities : Knowledge of business English, math, spelling, punctuation, vocabulary, filing, typing, etc.; advanced knowledge of a variety of types of standard office equipment. Proficient in the operation of personal computers and work processing software (Word, spreadsheets, databases). Knowledge of bookkeeping and accounting principles.
Ability to establish and maintain effective working relationships with employees, other agencies, and the public; ability to follow written and verbal instructions; ability to communicate effectively, verbally, and in writing; ability to deal with the public under conditions of stress and maintain composure and professionalism.
Special Requirements : Must be able to lift 20 pounds and climb stairs. While performing the duties of this job, the employee is frequently required to sit, talk, and listen. The employee is occasionally required to stand, walk, use hands, reach with hands and arms, climb or balance, stoop or kneel. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. Must be able to use telephone, computer, fax machine, audio-visual equipment, and display materials.
