General Summary : Provides essential logistical and administrative support to the Field Service Department. This includes coordinating scheduling and service visits, managing travel arrangements, maintaining accurate service documentation, and facilitating communication between field technicians, internal departments, and customers. The role is responsible for tracking service activities, preparing reports, supporting training sessions, and performing various administrative tasks to ensure efficient field service operations.
Key Responsibilities :
- Support the day-to-day scheduling and coordination of field service activities, including service visits, equipment start-ups, and customer support requests
- Assist with travel arrangements, documentation, and logistics for field service technicians
- Act as a communication hub between field service, internal departments, and customers to ensure service activities run smoothly and efficiently
- Prepare, format, and distribute reports, service documentation, and follow-up communications
- Track and help maintain field service calendars, visit logs, and ticket status updates
- Support the planning and organization of customer training sessions or onsite service events
- Collect and organize data related to service performance, customer feedback, and equipment issues
- Assist with expense reporting, timekeeping entries, purchase order tracking, and filing
- Maintain accurate departmental records and assist in managing document flow for field service operations
- Perform additional administrative tasks or projects as assigned
Requirements :
High school diploma or equivalent required; associate degree in business, logistics, or a related field is a plus1–2 years of experience in an administrative, office assistant, or customer service role (preferably supporting a field or service-based team)Strong organizational and time-management skillsComfortable working in a fast-paced environment and able to adapt to changing prioritiesConfident communicator with the ability to ask questions and raise concerns when neededProficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); experience with Smartsheet, SAP, or similar systems is a plusExcellent written and verbal communication skillsStrong attention to detail with an ability to track and follow up on multiple tasksWillingness to learn about technical products and field service processes
