Summary
The emphasis of this position is processing and payment of all invoices presented for payment, as well as administration and support of the Purchase Card system. The position is responsible for validating proper approval authorizations and safeguarding of Purchase Card account numbers and banking information.
Essential Duties and Responsibilities
Process and pay invoices with required approval for KOA, subsidiaries, and managed propertiesAdminister Purchase Card (PCard) system, including but not limited to the following :Obtain employee acknowledgment of PCard receiptAssist employees with transaction approval and card use issues, including fraudEnsure all transactions have been approved by cardholders and cardholders' supervisorsProcess pcard expense reports and ensure all transactions on PCard statements have receipts attachedMaintain timely and accurate filing of all accounts payable invoicesEnsure applicable vendors have a W-9 on file prior to paymentProcess weekly check runReconcile vendor statement and resolve any discrepanciesCollaborate with internal departments to resolve any payment issues or inquiriesTrack real & personal property tax bills and maintain valuation logAssist with preparations for year end 1099 fileReconcile accounts as directed by Manager / ControllerThis job description is not intended to cover or contain a comprehensive listing of activities, duties or responsibilities. 2+ years of bookkeeping / accounts payable experienceProficiency in MS Office, specifically Excel and WordExcellent organizational skills and detail orientedSelf-motivated with initiative and ability to follow up on small detailsExcellent written and verbal communication skillsPreferred Education and Experience
Associate's degree in accountingNetSuite or other accounting systemsAbility to manage priorities and timeStrong problem-solving skillsPhysical Demands and Working Conditions
Work is performed in an office environment and requires the ability to operate standard office equipment and keyboard, including lifting and carrying a laptop and other small items up to 20 pounds.Prolonged exposure to computer screens and artificial lighting.Use of repetitive motion, standing, bending, sitting, lifting, and walking short distances.May be expected to drive a vehicle to KOA locations, other locations as directed, and conferences which requires close and distance vision, sitting, seeing and reading signs, traffic signals, other vehicles, etc. Travel occurs in all weather conditions, including extreme heat and cold.Frequent in person interaction with KOA employees in various settings, where noise level is typically low to moderate, including office spaces.Will experience occasional interruptions and shifting priorities.KOA does not sponsor Visas
