Job #538534) Administrative Analyst / Specialist I - Exempt, Purchasing Coordinator, Salary Range : $4,379 - $7,922 monthly.

Hiring Range : $4,379 - $4,598 monthly. This is a full-time, benefited, exempt, 12-month pay plan permanent position with a one-year probationary period in the Enterprise Services Department.

Position Summary :

The Purchasing Coordinator has purchasing responsibility for a variety of diverse purchasing activities in the Enterprise Services.

Typical activities include purchasing of commodities of a technical and specialized nature and / or developing ordinary purchases or service agreements.

Items or services purchased may range from those acquired directly from the vendor / contractor with little or no modification to unique, scarce, or custom-made items requiring creative development of original specifications, with minimal supervision or assistance.

Resolution of conflicts between providers and end-users is an integral part of this position. Accuracy and record keeping are crucial for the department.

Key Responsibilities :

Procurement for Housing, Residence Life, Conferences, Off-Campus Housing, Dining and Bookstore funds, Career Center, and Assist with Children’s Center 30%

Responsible for ProCards and associated processing, requisitions for PO’s, direct pays, blanket PO’s, & hospitality expense verification documentation, and reconciliation.

Vendor Support 25%

Work with vendors to provide solutions and problem solve.

Administration and Support 30%

  • Monitors, reviews, and reconciles departmental expenditures.
  • Completes and reviews Concur travel authorization requests and reimbursements.
  • Works with Residence Life programming procurement needs, including training of their staff on proper procurement procedures.
  • Tracks revenue sources and ensures proper billing takes place yearly.
  • Works with Housing Facilities team on improvement projects.

Provides support at major events like Move in, Move out, etc. 5%

Supports departmental needs and other duties as assigned 5%

  • Thorough knowledge of policies, procedures, and outside regulations.
  • Ability to learn, interpret, and apply a wide variety of policies and procedures.

  • Working knowledge of operational and fiscal analysis and techniques.
  • Ability to take initiative, independently organize and plan work and projects, coordinate, and perform work in various situations where numerous and diverse demands are involved.
  • Ability to organize and plan work and projects including handling multiple priorities.
  • Ability to make independent decisions and exercise sound judgment.
  • Ability to analyze and address problems using reasoning and the interpretation and application of theories and principles to develop and recommend alternatives and best course of action.
  • Ability to compile, write, and present reports.
  • Demonstrated ability to establish and maintain effective working relationships within and outside the work group and serve as a liaison for the organizational unit.
  • Ability to train others on new skills and procedures and provide lead work direction.
  • Experience building and sustaining collaborative working relationships with a variety of individuals from diverse backgrounds.

Minimum Qualifications :

Entry to this classification requires general knowledge and skills in the applicable administrative and / or program field with a foundational knowledge of public administration principles, practices, and methods.

This foundation would normally be obtained through a bachelor's degree and / or equivalent training and administrative work experience involving study, analysis, and / or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.

Valid CA Class C Driver’s License required.
