Overview
The Community / Property Manager is responsible for the day-to-day operation of designated communities and for overseeing and maximizing occupancy levels and value of their portfolio. The role provides management, direction, and leadership to direct reports and ensures the community is maintained and operated in accordance with OneWall Communities objectives and regulatory requirements.
Responsibilities
- Manage and oversee all operations including property maintenance, capital improvements, rent collections, lease administration, budgeting, and marketing.
- Develop, mentor, lead, and manage a high-performing, cohesive team.
- Maintain accurate records of all community transactions and submit on a timely basis (e.g., rent rolls, delinquency reports, move-in / move-outs).
- Assist in the preparation and development of the annual property management operating budget.
- Maximize rental revenue by maintaining high occupancy and reduction of vacancy loss, bad debt loss, and concessions.
- Ensure rents and late fees / check charges are collected, posted, and deposited in a timely manner.
- Generate necessary legal action, documents, and processes in accordance with state and company guidelines.
- Provide constant vendor / contractor communications concerning scheduling, billing, vendor relations, and certificates of insurance.
- Ensure A / P invoices are submitted to the corporate office for payment; handle petty cash and all funds.
- Continually monitor and analyze traffic logs, conversion ratios, budget guidelines, renewal information, and marketing data to provide up-to-date information when requested by others.
- Confirm all leases and corresponding paperwork are completed and input to the property management software system accurately and on a timely basis.
- Ensure all administrative paperwork is accurate, complete, and submitted on a timely basis.
- Lead emergency team for the community and ensure proper response to all emergencies with staff, residents, buildings, etc., within company guidelines to minimize liabilities.
- Develop and / or implement resident retention programs (e.g., resident functions, special promotions, monthly newsletters).
- Ensure all administrative processes involving personnel are handled on a timely basis (e.g., performance evaluations, salary reviews, time sheets, change of status forms).
- Maintain community appearance and ensure repairs are noted and completed on a timely basis, including regular inspections and tours.
- Ensure that all service requests are recorded and communicated appropriately to maintenance.
- Ensure personnel operate within OSHA standards and company safety policies at all times.
- Provide for resident services including follow-up on 100% of resident maintenance service requests, responding to resident complaints, planning resident activities, and providing for exceptional resident communication.
- Supervise the apartment turnover process (including move-in / move-out procedures).
