Description :

Position : Full-time Monday-Friday 9AM-6PM during the school year and 7 : 30-5 : 30 Monday-Thursday during the summer months.

Salary Range - $35,000.0-$40,000.0 annually

Requirements : Leadership

  • Set a good example for staff and club members. Use proper language, professional interaction, be positive, encourage fun, take interest in staff and club members, dress appropriately, be punctual, answer your phone, respond to email and texts.
  • Embody the values of Boys and Girls Club. Remember you are always a representative of BGCDT even outside of working hours. You are a leader of youth within the community and should always act accordingly.
  • Aspire to make decisions that are in the best interest of youth and the Club overall.

Training of Staff

  • Mission and Values of BGCDT : All Club staff should know the mission and values of BGCDT. Decision making should be taught to always keep our missions and values at the forefront.
  • Health and Safety : Above all, health and safety of our staff and club members must be held to the highest standards. Ensure all site directors know and have reviewed health and safety policies with all staff. Health and safety binders must be kept and updated at each site. It is the AD’s job to create and maintain a procedure to ensure everyone has the health and safety information they need in case of any emergency. In addition, AD’s must ensure proper knowledge, recording keeping, and tracking of :
  • Member information including parent / guardian information, home address, contact phone numbers, email address, allergy and diet information, medical information, IEP or education-related (if provided) information
  • Attendance- must be taken upon entry of every club member and properly tracked when a club member leaves our care. A club member’s whereabouts should be known at all times.
  • Incidents-Document and track incidents and make sure Primary Operations is notified.
  • Emergency procedures-Regular trainings and documentation of these trainings should be conducted with all staff. Fire, tornado, and active shooter trainings should be held. Procedures for if a club member is not picked up should be discussed as well as procedures for how to handle a club member who is being violent and / or abusive.
  • Illness-Staff should be trained on proper procedures for staff or club member illnesses.
  • School rules- Staff should be notified if sites have rules specific to their schools. An example may be that certain exit doors are not to be used, or certain procedures should be followed for parent drop-off or pick-up depending on the school’s set up.
  • Proper interaction with club members and co-workers-Staff should be trained on proper interaction with Club members. For example staff members should never be alone with a club member, proper touching, proper language, etc.
  • Curriculum : BGCA provides a high quality curriculum that supports the positive growth of our club members. BGCDT expects curricula and other learning resources to be properly and readily used at all sites.
  • Site Directors are to be trained and encouraged to execute curriculum
  • Site Directors need to be training on how to plan for each day / week
  • Supplies must be ready and available
  • Track which curricula are used, when used, who participated, what purpose
  • Provide updated training for staff when the situation arises
  • If AD does not know how to use any curriculum, it is their responsibility to let the DOL know in order for them to receive the proper training
  • Parent / Guardian / School Staff communication and interaction : BGCDT always treats others with respect and integrity. Whether in the office, at a school, at an event, or in the community, every BGCDT staff member is expected to use kind and respectful language.
  • Teach staff how to appropriately talk with parents / guardians / school staff. Give them support and opportunities to practice especially for times when a difficult conversation needs to take place
  • Encourage interaction with key people (parent and administrators) as they play an important role in our member’s upbringing
  • Be seen as a team player who always has the club member’s interest at heart
  • Encourage to participate in opportunities to build relationship between Club and home or Club and school
  • Conduct monthly meetings with Principals or Assistant Principal. Include an agenda outlining objectives and talking points. Meetings can be conducted by the Site Director alone or with the support of the AD.
  • Administrative Responsibilities
  • Oversee staff time punches. Punches should be accurate every day. A habit must be formed to ensure time punches are not missing.
  • Approve payroll reports. Regardless of holiday or any other circumstances, payroll reports must be approved and submitted by the given deadline
  • Membership and staff records must be correct at all times. All necessary information must be accurately kept in Kidtrax and site binder. Steps should be taken to ensure information is regularly updated
  • Ensure all staff maintain a professional appearance and professional behavior and attitude
  • If and when necessary, ADs must implement performance plans with underperforming site directors and YDPs. It is your responsibility to ensure follow up of any performance plans
  • Work with DOL and co-AD to ensure all positions are filled and properly staffed every day
  • When you are given a financial budget, you must take measures to ensure it is being managed
  • Ensure proper documentation is being maintained for any and all child incidents or behaviors, staff incidents or behaviors, school incidents or plans, or anything else related to the program and its performance
  • Site Director Support
  • Step in and show good examples of how to do job properly
  • Be a supportive listener and offer problem solving solutions
  • Hold Site Directors accountable for the performance of their site
  • Offer Site Directors opportunities to grow and improve leadership skills
  • Fill in for Site Director if necessary (this should be an exception-not the rule). If there is an attendance issue for a site, there is a systemic issue that needs to be addressed.
  • Conduct annual performance reviews and performance plans if / when necessary
  • Discuss your Site Director’s goals with them and create plans to help them reach their goals. Follow up on their progress.
  • Assist if support is needed in handling situations dealing with individual club members be it behavior, removal from club, challenges at school, challenges at home, etc.
  • Other
  • Participate in BGCDT events and / or support BGCDT efforts
  • Support DOL in regards to hiring Site Directors, YDP’s, etc.
  • Support DOL on obtaining information needed for record keeping, training, etc.
  • Work closely with DOL to make sure every site is properly staffed
  • Support volunteers and our volunteer coordinators
  • Support co-Area Director and communicate with them regularly. There should be consistency among all school sites in regards to communication, direction, policies, etc.
  • Create a consistent and affordable method of ordering site supplies to ensure sites have all supplies they need at the time they need them.

    Reasoning Ability :

    Ability to anticipate, identify and solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form. To accurately complete all required paperwork. To professionally handle and / or get help to resolve conflict. Ability to follow instructions as given and / or directed by supervisor.
