Job description

The Compliance Administrative Coordinator provides day-to-day administrative support across multiple departments, including R&D Innovation Consumables, Product Registrations, and Accounting. This role is responsible for handling regulatory documentation, processing payments and reports, supporting departmental projects, and serving as backup to the front desk as needed.

This position is based out of our Neptune City, NJ commercial office 5x a week.

MEASURES OF SUCCESS :

Regulatory & Registration Support :

  • Register and renew feed licenses for dog and cat facilities with required states.
  • Register and renew edible products with required states for dog and cat business units.
  • Process tonnage reports quarterly and / or annually.
  • Review labels to ensure compliance with AAFCO regulations.
  • Submit payment requests for registrations and route to the Accounts Payable department.

Accounting & Administrative Support :

  • Create PO requisitions and Comp forms for various invoices; submit to Purchasing and Accounting.
  • Maintain and update expense tracking spreadsheets for pending and new invoices.
  • Scan and file QA documentation in appropriate folders.
  • R&D Support :

  • Assist the R&D Innovation Consumables Department with edits, formatting, and creation of presentations, spreadsheets, and documents (PowerPoint, Excel, Word).
  • Front Desk Backup Duties :

  • Greet and assist food delivery / pickup drivers; direct to the appropriate office staff.
  • Ensure visitors sign in and receive necessary access.
  • Obtain signatures for NDA forms from visitors as required.
  • Place and coordinate food orders for meetings.
  • Address and redirect solicitors on the premises.
  • Occasionally create forms or provide administrative support for HR.
  • IDEAL CANDIDATE ATTRIBUTES :

  • Previous administrative experience in a regulated or corporate environment preferred.
  • Strong organizational and multitasking skills with the ability to prioritize competing deadlines.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and comfort learning new software systems.
  • Excellent written and verbal communication skills.
  • Detail-oriented with the ability to review documents for compliance and accuracy.
  • Ability to handle sensitive information with discretion and maintain confidentiality.
  • Customer service mindset with a professional and welcoming demeanor.
  • Ability to work independently as well as collaboratively with cross-functional teams.
  • Flexibility to adapt to changing priorities and support multiple departments simultaneously.
