We are seeking a proactive, highly organized Temporary Office Manager to provide maternity leave cover from early November through March of 2026. This role is critical to ensuring the smooth running of our offices during an important transition period, including a move to our new office space and the lead-up to our annual company event.

The successful candidate will thrive in a dynamic environment, enjoy problem-solving, and be comfortable juggling both routine operational tasks and ad-hoc requests.

Job Details : Contract Office Manager | Event Coordinator

Schedule : Monday - Friday, Normal business hours

Pay Rate : $30-40 / hour, based on relevant Experience

Job Description :

Office Operations - Handle daily and weekly routines such as :

  • Monitoring and clearing office phone line voicemails.
  • Checking, scanning, and distributing incoming mail.
  • Managing office supplies and coordinating with vendors for restocking.
  • Overseeing office repairs and maintenance requests.
  • Ensure health & safety and compliance processes are maintained.
  • Act as the go-to person for employee day-to-day office needs.

Office Move - Support the transition to the new office space, including :

  • Coordinating logistics with the moving team and suppliers.
  • Helping employees settle into the new workplace (desks, equipment, facilities).
  • Troubleshooting small but important tasks in the weeks following the move.
  • Event Support

  • Contribute to the planning and logistics of the company’s flagship event.
  • Coordinate with the Synapse project team on operational and on-site requirements.
  • Support vendor management and travel / hospitality arrangements for staff and guests.
  • Team Support

  • Provide administrative and logistical assistance to leadership and employees.
  • Act as a point of contact for important partners and suppliers (list provided).
  • Be flexible to take on ad-hoc requests that arise post-move and in the lead-up to Annual Event.
  • Job Requirements :

  • At Least 3 years of prior experience within office management, facilities / event coordination, or excecutive administration.
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Comfortable working independently and taking initiative.
  • Experience coordinating moves, events, or large logistics projects is a plus
