Rail Cost Analyst

Rail Cost Analyst Job Summary : Responsible for managing and reconciling rail transportation invoices in compliance with contractual terms, published tariffs, and GAAP standards. Reviews, audits, and processes freight, demurrage, switching, detention, and diversion invoices to ensure accuracy and timely payment. Collaborates with rail carriers, suppliers, and internal teams to resolve discrepancies, reconcile unapplied funds, and manage refunds. Utilizes SAP for financial reporting, vendor setup, and invoice approvals. Provides monthly accruals, budget data, and operational scorecards, while supporting financial and operational analyses across transportation, accounting, and commercial functions.
Responsibilities :
- Reconciles invoices by comparing to actual volumes transported, published tariffs and contractual terms.
- Processes empty freight, diversion, demurrage, switching, and detention invoices.
- Reviews invoices for accuracy and works with suppliers and rail carriers to resolve / reconcile accounts or create accounting disputes.
- Ensures all invoices are paid in a timely manner and applied to the accurate accounting buckets.
- Works with rail carriers to reconcile and apply unapplied funds.
- Verifies and accepts refunds. Provides refund back up to Accounts Payable for processing.
- Meets monthly with rail carriers to address any aging invoices. Gathers and provides mileage equalization data for third party review.
- Utilizes SAP for generating financial reports, invoice approvals and new vendor creation.
- Ensures documentation adheres to solid accounting practice and / or GAAP requirements.
- Works with rail operations, refining, and commercial teams to investigate and resolve discrepancies affecting rail-related costs.
- Conducts rail invoice auditing, rail demurrage auditing and rail detention auditing.
- Provides ad-hoc financial and operational analyses to internal customers including transportation accounting, crude accounting and product accounting, AP processing, BP&A, supply chain, Titles & Contracts and Lease Accounting.
- Collects required information and creates monthly scorecard reports for rail operations. Compiles and provides budget data yearly.
- Provides monthly accrual information for transportation accounting and assist with uploading rail freight rate information into rail transportation systems.
Minimum Qualifications :
Bachelor's degree in accounting, business, data analytics, or related field required.1-2 years of related experience in accounting, data analytics, or another related experience preferred.Location : San Antonio, Texas. Additional locations : Findlay, Ohio.
