We are looking for an experienced Administrative Assistant to join our team on a long-term contract basis. Based in Los Angeles, California, this position plays a vital role in ensuring the smooth operation of programs within a non-profit environment. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple tasks while maintaining excellent communication with staff and program participants.
Responsibilities :
- Coordinate and schedule meetings, events, and training sessions to support program activities.
- Maintain accurate program data and ensure compliance with tracking and reporting requirements.
- Monitor program-related expenses and assist with budget tracking and documentation.
- Manage inventory by ordering office and program supplies, ensuring cost-efficiency.
- Maintain and update calendars for staff, meetings, and program schedules.
- Provide administrative support by drafting correspondence, preparing materials, and keeping records organized.
- Assist visitors and staff with inquiries, offering clear and helpful information related to programs.
- Work occasional evenings and weekends to support events or program needs.
- Minimum of 2 years of experience in administrative support, ideally within a non-profit, government, or program-focused setting.
- Proficiency in Spanish is preferred, with strong verbal and written communication skills.
- Exceptional organizational abilities to manage multiple tasks and meet deadlines effectively.
- Competence in administrative tasks such as data entry, receptionist duties, and answering inbound calls.
- Strong attention to detail and accuracy in maintaining records and program data.
- Ability to work collaboratively with diverse teams and program participants.
- Experience in managing schedules and coordinating events efficiently.
