Administrative Assistant
The School and Institutional Trust Funds Office (SITFO) manages a $4 billion, mission driven, long-horizon portfolio that supports public education in Utah. We are a small, collaborative team focused on thoughtful investing and public impact.
This Administrative Assistant will work closely with SITFO's existing Administrative Assistant to provide seamless support for both office operations and investment staff logistics. SITFO is looking for an Administrative Assistant who is detail-oriented and thrives on managing complex logistics for a dynamic team. This position requires a high level of professionalism, collaboration, and accuracy while interacting with external investment firms, internal staff, and other stakeholders.
What You'll Do :
- Coordinate domestic and international travel for SITFO staff in compliance with State of Utah travel policies, including booking, pre-approvals, expense reporting, and logistics for manager meetings, industry conferences, and due diligence or investment-related events.
- Schedule and book meetings with new and existing investment managers, interfacing with both external firms and internal staff.
- Maintain accurate calendars for multiple staff members, ensuring efficiency and timeliness in scheduling.
- Manage meeting documentation, onboarding materials, and follow-up tracking for investment managers, maintaining accurate records and task progress through the team's Trello board and Dossier systems.
- Serve as the primary contact for software, hardware, and technology coordination, working with the Division of Technology Services and other vendors as needed.
- Process reimbursements and other transactions through FINET / Vantage in accordance with state policy.
- Perform miscellaneous job-related duties as assigned.
What You'll Bring :
Professional experience in high-level administrative support or related positions.Experience in SAP Concur, FINET or Vantage, and Microsoft Office Suite preferred.Skill in managing complex travel logistics and scheduling for multiple professionals.Humility, honesty, detail-orientation, high work ethic, and a willingness to learn.High organization and ability to work equally well in a team or independently.Demonstrated ability to set priorities and multitask under pressure and with frequent interruptions.Why SITFO (Benefits) :
