The Museum of Modern Art is currently accepting applications for a Product Coordinator with MoMA Retail. The role will provide essential support for the Retail Merchandising Team in addition to working cross-functionally with other retail and Museum departments. The Product Coordinator will assist the Retail Merchandising Team on all administrative tasks related to vendor set-up and maintenance, PLU creation and maintenance, purchase order creation, confirmation and maintenance, inventory maintenance, invoicing, and contract and sample trafficking. The Product Coordinator will also work with colleagues across the Museum to provide preparatory assistance and logistical support to ensure that daily retail merchandising operations and functions are smoothly executed.

Responsibilities :

• Owns vendor set up process for the merchandising team by coordinating requisite paperwork with prospective vendors, confirming banking details, and setting up vendors in MoMA's relevant databases.
• Sets up PLUs for products and performs all follow-up work needed regarding item maintenance, specifically min / max, price and attribute changes.
• Creates purchase orders for all retail products and confirms receipt of purchase orders with the vendor.
• Performs all follow-up work regarding purchase order creation, confirmation and completeness, including price change, order terms, shipping and delivery arrangements (on an as needed basis), and order maintenance.
• Acts as a liaison between the vendor and the buyers when changes need to be made to purchase orders.
• Maintains all vendor, order and inventory files including open orders, closed orders, product information, and item and vendor maintenance.
• Acts as liaison between finance, vendors, and merchandising team to resolve any open invoice issues and communicates with all parties to assure everyone is updated on developments in a timely manner.
• Processes invoices for sample and product development-related expenses.
• Works with appropriate parties to resolve inventory and invoicing discrepancies.
• Acts as liaison between vendors, freight forwarder, MoMA warehouse, the Logistic & Merchandising Coordinator in our warehouse, selling locations, customer service, and product managers.
• Ships out contracts, sample returns, samples for artists and designers, and gratis comps due to licensors per our royalty agreements.
• Creates PLU lists for the Holiday Gift Guide, Pop-Ups, and other key Retail initiatives.
• Processes and follows-up on all returns to vendors.
• Handles merchandising mail distribution and provides communication backup as needed.
• Performs any other duties reasonably related to the functions described above.

Requirements :

Reports to : Associate Director, Merchandising and Product Development and other senior titles as assigned.

Salary : The salary for this position is $61,560 (gross) per annum.
