Job description

The Talent Administrative Coordinator will be supporting the organization's talent management efforts. The coordinator will be providing essential administrative support, including maintaining the Applicant Tracking System (ATS) for the recruiting team, drafting offer letters, posting job announcements on internal / external job boards, submitting invoices and troubleshooting system related issues.

The Talent Administrative Coordinator reports directly to the Director of Talent Acquisition.

ESSENTIAL DUTIES / RESPONSIBILITIES

Job Postings and Offer Letters

  • Support the Talent process by posting job announcements on internal and external job boards
  • Process offer letters for all positions

Administrative Management (Including tracking, reporting and job boards

  • Maintain the Applicant Tracking System (ATS) and ensure all candidate information is accurately documented.
  • Maintain the ATS, user access permissions and roles, and troubleshoot system related issues
  • Resolve and troubleshoot applicant questions via the talent acquisition job posting inbox
  • Liaise with external partners and job boards for support and upgrades
  • Submit purchasing requests / requisitions through the web portal and support with tracking expenditures across talent
  • Supporting temporary hires

  • Support temporary staff hiring process with staffing agencies and hiring managers
  • Talent support and training

  • Provide administrative support to the Talent department, including preparing reports and working with the HR Data and Operations team to maintaining talent acquisition metrics
  • Facilitate staff training to Talent Acquisition Specialists, hiring managers, and other users on how to effectively utilize the ATS
  • Maintain Talent SharePoint site and update records and documentation in OneDrive
  • Professional Development and other duties as assigned

  • QUALIFICATIONS

    Required qualifications :

  • Bachelor's degree or an equivalent combination of 4+ years of post-secondary education and work experience
  • Preferred qualifications :

  • Bachelor's degree is preferred
  • Experience using ADP Recruitment Management (RM) and / or the ADP Applicant Tracking System
  • Proficiency in Zendesk or similar customer service portals
  • Experience within non-profit organizations or the legal field
  • KNOWLEDGE, SKILLS, AND ABILITIES

  • Mostly sedentary, significant time using a computer and monitor; communicating and meeting using video
  • May or will require travel within NYC, across the five-borough region
  • SALARY AND BENEFITS

    The salary range represents a good faith estimate of the range we expect to pay for this role. The actual salary offered may vary depending on many factors, including but not limited to job-related knowledge, skills, and experience, as well as collectively bargained salary steps for unionized roles.

    Salary Range : $75,000 - $82,000

    Higher Education and Loan Forgiveness

    The Legal Aid Society is a qualified employer for the purposes of the Public Service Loan Forgiveness. This position allows an employee to take advantage of PSLF and other State and Federal loan forgiveness programs. Additionally, employees who are New York residents may be eligible for assistance from New York state to assist with loan repayments, depending on years of practice.
