Head Clerk & Secretary
Under the supervision of the Administrative Criminalist V, the Head Clerk & Secretary will be assigned to the Forensic Laboratory.
Responsibilities
- Receives and screens visitors to the Laboratory, arranges appointments, and assists with inquiries.
- Attends telephone(s) and directs / transfers calls as appropriate.
- Performs administrative and clerical functions under the direction of the Administrative Criminalist V / Criminalist V's.
- Types reports, memorandums, letters, and other correspondence, as needed.
- Performs electronic data entry and retrieval.
- Maintains files and records in accordance with laboratory policies and procedures.
- Tracks, orders, and maintains clerical lab supplies.
- May assist in requesting quotes and vendor communication for the Laboratory.
- Photocopies / scans and prepares mailings of laboratory correspondence and reports, as needed.
- Distribution of documents to appropriate agencies, as needed.
- May assist in scheduling of forensic section / monthly / quarterly meetings.
- Records minutes of laboratory meetings.
- May assist in submitting weekly time and attendance sheets for the Laboratory.
- May assist the Firearms Section with the data entry / validation of stolen guns.
- Participate in continuing education, conferences, trainings, and other seminars relative to their position.
- Performs any related duties as required.
Minimum Entrance Qualifications
At least four (4) years of full-time, or equivalent part-time, paid administrative support experience in an office environment.A High School Diploma or equivalent is required; an Associate's Degree may substitute for one (1) year of experience.Experience in using Microsoft Office (Word, Excel, PowerPoint, Access, etc.) and Google Suite strongly preferred.Clearly and effectively communicates information in both written and verbal formats.Demonstrates professional and respectful communication with colleagues.Strong organizational, oral, and written skills; must appreciate and respect the confidentiality of all situations.Knowledge of routine laboratory safety rules, regulations, and procedures.Ability to follow Standard Operating Procedures (SOPs).Ability to establish and maintain effective working relationships with coworkers.Strong time management skills with the ability to prioritize tasks effectively.Maintains accurate and well-organized records, files, and documentation.Detail-oriented with the ability to manage multiple tasks simultaneously.Must be able to exercise good judgment and focus on detail as required by the job.BOSTON RESIDENCY REQUIRED. PRE-EMPLOYMENT DRUG TEST AND PHYSICAL REQUIRED. CRIMINAL RECORD CHECK REQUIRED.
