The AP specialist works closely with the Finance Department in day-to-day accounting functions, especially the processing of accounts payable.
Essential Functions :
Contribute to The Cooperative’s commitment to equity and continuous quality improvement that aligns with the agency’s mission, goals, and advancement.
Effectively cross-collaborate with agency staff, leaders, and board members to foster a comprehensive approach of information sharing, working committees, and collective representation.Routinely disseminate relevant information, presentations, training, and learning opportunities for internal program and agency staff.When applicable, participate in relevant staff development opportunities (trainings, summits, conferences, etc.) to increase skill development, elevate program goals, and engage staff members with timely key learnings.Process, verify and reconcile invoices to monitor expensesReviews vendor invoices for accuracy, appropriate documentation, and approval prior to paymentEnsures accurate and timely payments, meeting the financial obligations of the agencyResearch, resolves, and reconciles any discrepanciesCommunicate with vendors and staff to maintain accurate financial recordsEnters charges / invoices and reconciles the credit card statements, including service chargesCheck all Purchase Order requests against receipts providedReviews accounts payable processes and procedures and makes appropriate recommendationsResponds to all vendor inquiriesMaintains all accounts payable reports, spreadsheets and accounts payable filesAssists Financial Accountants as necessary and provides supporting documents when neededAssists staff with conference / workshop registration paymentsAssists in preparation of 1099 formsEnsures accurate filing of accounts payable related documentsMakes bank depositsControls petty cash & gift card distribution when neededOrders and manages journal subscriptions and membership duesOther duties as assignedRequirements
High School Diploma, associate’s degree preferredFive years’ experience in Accounts PayableKnowledge of other accounting functions and / or financeFamiliarity with financial analysisFamiliarity with not-for-profit environmentExperience in accounting software, Blackbaud experience preferredKnowledge of Microsoft software packages, including Excel and WordAbility to work with minimal supervisionStrong analytical, communication, and interpersonal skillsStrong organization skills with attention to detailsValid driver’s license, car, and current insurance policyPhysical Requirements :
