Job description

Assistant Property Manager

We are seeking an experienced Assistant Property Manager to join our team in Sacramento. This role reports directly to the Director of Operations and supports the management of a 1.6 million square foot industrial portfolio with 48 tenants throughout the Sacramento area.

Key Responsibilities

  • Coordinate building access for brokers, tenants, and vendors.

Build and maintain strong relationships with tenants and vendors.

Assist with property inspections, including vendor site visits, appraisal tours, and lender inspections.

Serve as on-call support for fire alarms and other property emergencies.

Oversee service contracts, purchase orders, and work authorizations.

Identify opportunities to reduce operating expenses while maintaining service quality.

Ensure code compliance and proper equipment maintenance across all properties.

Participate actively in operations meetings.

Assist with move-ins, move-outs, tenant appreciation events, and ESG initiatives.

Support CAM reconciliations, CAM estimates, and budget reforecasting.

Prepare legal notices, license agreements, and approval memos.

Conduct quarterly property inspections and maintain records.

Document and process insurance claims.

Track utilities and ensure timely payment.

Assist with tenant chargebacks, capital project documentation, and adjustments.

Provide financial reporting support, including :

Reviewing and approving accounts payable invoices.

Supporting accounts receivable functions such as delinquency calls, letters, and payment applications.

Reviewing monthly tenant billings and responding to tenant inquiries.

Assisting with monthly reporting, ledger review, and expense accruals. Qualifications

Bachelor’s degree preferred.

Active California Real Estate License, or the ability to obtain it within the first 6-8 months in the role

2–3 years of property management experience, ideally within the commercial or industrial sector.

Strong customer service skills with experience supporting both internal and external stakeholders.

Familiarity with budgeting and CAM reconciliation processes.

Proficiency in Microsoft Word and Excel; ability to learn accounting, budgeting, and compliance platforms.

Software experience in MRI, AvidXchange, Salesforce, and MS Suite preferred.

Strong organizational, analytical, and problem-solving skills.

Determining compensation for this role (and others) at Vaco / Highspring depends upon a wide array of factors including but not limited to the individual’s skill sets, experience and training, licensure and certifications, office location and other geographic considerations, as well as other business and organizational needs. With that said, as required by local law in geographies that require salary range disclosure, Vaco / Highspring notes the salary range for the role is noted in this job posting. The individual may also be eligible for discretionary bonuses, and can participate in medical, dental, and vision benefits as well as the company’s 401(k) retirement plan.
