Support the College mission by providing leadership and supervision of registration and records functions, including maintaining course files, transcripts, and grades for curriculum Ensure and maximize efficiency and effectiveness of registration and records processes with an emphasis on customer service and student success. Responsible to ensure adherence to institutional and state policies and regulations that pertain to Full-Time Equivalence (FTE) reporting for both curriculum programs. Serve as the College Registrar and as the custodian of student records to ensure compliance with College policies and state and federal regulations. This position is responsible for overall effectiveness of the office and accuracy and security of student data.

DUTIES AND RESPONSIBILITIES

  • Responsible for the daily operation of the Registrars Office to ensure quality service to students, faculty, and staff.
  • Plan, supervise, and evaluate the performance and work of the registration staff and provide for staff development and training of personnel involved with assigned area.
  • Develop, plan, and coordinate the College registration process for curriculum students. Collaborate with EWD to execute the EWD registration process. Establish, under the leadership of the Vice President for Student Services, and in consultation with other College officials, goals and objectives for the registration processes.
  • Evaluate registration processes for effectiveness and student centeredness.
  • Serve as the College Registrar and establish procedures for the retention, disposition, and security of student records in accordance with the Family Educational Rights and Privacy Act of 1974 (FERPA) and all applicable state and federal regulations.
  • Prepare daily, weekly, quarterly, and annual reports and materials for internal and external reporting.
  • Maintain timely and accurate records of academic progress; provide transcript services for students and alumni.
  • Assure adherence to College and community college policies and procedures.
  • Establish and maintain effective relationships with students, faculty, staff, alumni, and community.
  • Plan and supervise systems development and analysis related to registration and student records systems; conduct research and data analysis in assigned areas as needed.
  • Alert all departments of errors that may result in audit exceptions and penalties for the College.
  • Verify accuracy of registration and fees, , and supervise student registration processes including online registration through Self-Service and walk-in registration for EWD.
  • Prepare and transmit required reporting for NCCCS, including but not limited to, the Institutions Class Report, Comprehensive Curriculum Student Report, Graduation Data Extract, and Estimated FTE reports.
  • Assist staff in the collection of records and generation of reports required for audit and accreditation purposes. Participate in audit planning and follow-up meetings.
  • Plan, coordinate, and direct the curriculum graduation process by ordering diplomas, planning the commencement ceremony, certifying and verifying graduation status, and issuing diplomas.
  • Oversee awarding of transfer credits and evaluation of student records.
  • Support the research mission by providing data and services.
  • Process grades and grade verifications as appropriate.
  • Serve as College representative in community service efforts.
  • Maintain and expect professionalism in the performance of duties; foster collaboration, collegiality, and support.
  • Perform other duties as assigned.

MINIMUM EDUCATION QUALIFICATIONS

  • Bachelors degree from a regionally accredited institution required.
  • Masters degree from a regionally accredited institution preferred.
  • MINIMUM EXPERIENCE QUALIFICATIONS

  • Three years work experience in higher education required; community college work experience preferred.
  • Experience with registration processes required.
  • Experience using computer applications / software required.
  • Attention to detail with the capability to multi-task required.
  • Strong organizational, analytical, and computer skills required.
  • Effective written, oral, and interpersonal communication skills required.
  • Student services or supervisory experience required.
  • PHYSICAL REQUIREMENTS

  • Generally works in a traditional climate-controlled office environment and requires the ability to sit for extended periods.
  • Some walking, standing, and bending required, and the ability to lift and maneuver items weighing up to 25 pounds.
  • Work environment can be stressful at times in dealing with a wide variety of challenges and deadlines.
  • In addition to regular office hours, position sometimes requires overtime and / or evening hours.
