Role Description
Milestone Construction, Inc. is growing, and we’re looking for a highly organized Operations Coordinator to support our office and field teams. This role is essential in keeping our commercial construction projects running smoothly — from permitting and bid coordination to scheduling inspections and managing day-to-day operations..
Responsibilities :
Permitting & Documentation
- Prepare and submit building permits
- Coordinate the creation, revision, and distribution of plan sets
- Manage communication and coordination between architects, drafters, engineers, and consultants
- Maintain plan sets, RFIs, submittals, logs, and documentation
- Track inspections, approvals, and compliance items
Bid & Procurement Support
Send bid invitations and collect subcontractor proposalsAssist in bid reviews and procurement of long-lead itemsCoordinate material orders and delivery timelinesOffice + Field Coordination
Schedule city inspections and site walk-throughsCoordinate with project managers, superintendents, subcontractors, and vendorsDistribute updated drawings and project informationContract & Administrative Support
Prepare subcontract agreements, purchase orders, and change ordersMaintain compliance documents (W-9s, COIs, lien releases)Assist with pay applications and organize job file managementGeneral Office Duties
Support daily office operations and communicationMaintain calendars, meeting coordination, and project workflowsKeep digital and physical files organizedRequirements :
Bachelor’s degree required (Business, Construction Management, or related field preferred)2–3 years of experience in construction, development, or a similar operations / coordination roleStrong organizational and communication skillsAbility to multitask in a fast-paced construction environmentProficiency with Microsoft Office, PDFs, and digital filing systemsProficiency with work management tools (Asana, Monday, etc.)Highly dependable, proactive, and team-orientedDetail-oriented with a high level of accuracyJob Type : Full-time, Part-time
