Overview
Affiliations & Advisement Coordinator (AFT - U24) at Ramapo College of New Jersey. This is a full-time, 12-month AFT position reporting to the Assistant Dean of Nursing. The role is responsible for monitoring and managing all aspects of clinical and academic affiliation agreements, advising the Accelerated BSN, Bridge ABSN, and Bachelor's of Science in Health Administration (BSHA) students, and updating the Nursing Handbook and Website.
The position is in the NL (non-fixed work week) category. Hours are Monday through Friday, 8 : 30 a.m. to 4 : 30 p.m., with occasional evenings and weekends as duties demand. Compensatory time off is provided for hours worked beyond the normal work week or on a regular day off when requested and approved by the supervisor.
Responsibilities
- Coordinate and maintain affiliation agreements for clinical sites; ensure terms are accurate, contracts are renewed, and in-place prior to each semester; track and maintain the database in collaboration with the Clinical Coordinator and Legal Department.
- Advise all accelerated nursing (ABSN), bridge accelerated nursing (B-ABSN), and Health Administration (BSHA) students; maintain detailed advisement records and update advisement materials as needed.
- Inform students of compliance and progression requirements; document outreach and follow-up efforts.
- Oversee nursing student pre-clinical placement requirements and compliance; ensure all requirements are met prior to placement.
- Coordinate with the Registrar and Admissions to ensure audits reflect transfer credits where applicable.
- Provide orientation to ABSN, B-ABSN, and BSHA students upon admission to the program.
- Collaborate with the Nursing Student Success Team and Cahill Center on student advisement and scheduling of support activities.
- In consultation with faculty and staff, determine students to receive letters of dismissal from ABSN / B-ABSN and BSHA programs; prepare and send letters timely and notify the Registrar and Student Success; coordinate dismissal advisement meetings.
- Issue permits and overrides in Banner for all ABSN, B-ABSN, and BSHA students.
- Maintain nursing student databases; analyze data to identify students at risk.
- Collaborate with the Nursing Student Affairs Committee and Marketing to update Nursing Programs web pages; revise and upload the Nursing Programs Student Handbook.
- Send thank you letters to NP student preceptors; include applicable Nurse Practitioner re-certification documents when relevant.
- Develop cohort-specific forms for various nursing programs; format and upload data submitted through forms.
- Assist at nursing events (Leadership Conference, Sigma Induction Ceremony, Pinning and White Coat Ceremonies).
- Other duties as assigned.
Qualifications
Education
A Bachelor's degree in a field related to the position or equivalency is required.
Experience
At least 2 years of professional experience in an institution of higher education or in education or a related field; excellent written and oral communication skills and a record of collaborative work are required.
Additional Knowledge / Skills / Abilities
Knowledge of affiliation agreements, nursing program requirements, Nursing Programs Student Handbook, clinical site requirements, and articulation agreements; ability to maintain updated knowledge in these areas.Strong interpersonal, organizational, and communication skills (written and oral).Ability to prepare clear, data-rich reports and correspondence with great attention to detail.Ability to work in a multicultural environment and to use technology effectively (Banner, WordPress, Microsoft Office, etc.).Willingness to learn and apply new technologies, software, and platforms to address Nursing Department needs.Ability to juggle, organize, and prioritize multiple tasks in a dynamic environment and meet deadlines.Supplemental Information
