Executive Administrative Assistant To The City Manager
The Executive Administrative Assistant to the City Manager requires an individual with excellent time management, record-keeping, and organizational skills, able to sort and coordinate many priorities simultaneously. Heber City is a rapidly growing municipality with high ethical standards and a culture of environmental stewardship.
This role provides high-level administrative support to the City Manager and serves as a key liaison between the City Manager's Office, City Council, staff, and the public. The ideal candidate will demonstrate exceptional discretion, communication skills, and the ability to manage multiple priorities in a fast-paced municipal environment.
Core responsibilities include :
- Provide direct administrative support to the City Manager, including calendar management, meeting coordination, travel arrangements, and correspondence.
- Prepare agendas, minutes, and materials for City Council meetings, executive sessions, and internal leadership meetings.
- Serve as a point of contact for internal and external stakeholders, ensuring timely and professional communication.
- Assist in the preparation and tracking of departmental budgets, reports, and special projects.
- Maintain confidential records and files in accordance with city policies and state regulations.
- Coordinate public records requests and ensure compliance with GRAMA (Government Records Access and Management Act).
- Support the City Manager in community engagement efforts, including event planning, public outreach, and intergovernmental relations.
- Monitor deadlines, follow up on action items, and ensure timely completion of tasks.
- Perform other duties as assigned to support the efficient operation of the City Manager's Office.
Must have excellent Microsoft 365 literacy.

Excellent written and verbal communication skills.Demonstrated ability to handle sensitive and confidential information with discretion.Strong organizational skills and attention to detail.Ability to work independently, prioritize tasks, and meet deadlines.Preferred Qualifications :
Knowledge of municipal government operations and procedures.Experience working with elected officials or city councils.Familiarity with Utah's GRAMA laws and public meeting requirements.Bilingual English & Spanish speaking.Successfully passing a pre-employment background check and drug screening is contingent on employment.
