A highly respected philanthropic foundation is seeking an Executive Assistant to the President & CEO for a temporary assignment (up to 6 months). This position will provide high-level administrative and operational support to the President’s Office, ensuring seamless day-to-day operations. The ideal candidate is mission-driven, detail-oriented, and experienced in supporting senior executives with discretion and professionalism.
- This is a hybrid role based in Los Altos, CA, requiring 2 days onsite per week with flexibility as needed.
Responsibilities
Provide executive-level administrative support to the President & CEO, including complex calendar management and scheduling of meetings.Coordinate domestic and international travel arrangements, itineraries, and related briefing materials.Support on-site and off-site meetings with partners and stakeholders, managing logistics and materials preparation.Draft, proofread, and edit correspondence, presentations, and reports with precision and professionalism.Serve as the primary point of contact for internal and external communications related to the President’s Office.Collaborate with the Chief of Staff, Board Liaison, and leadership team to maintain efficient communication and operations.Assist with planning and execution of internal events, such as staff meetings, executive off-sites, and organizational gatherings.Process expense reports, contracts, and invoices, ensuring accuracy and timeliness.Support administrative needs for Board and Committee meetings, including document preparation and distribution.Uphold confidentiality, professionalism, and a high standard of service in all interactions.Requirements
Bachelor’s degree required.3+ years of experience supporting C-level executives, ideally within nonprofit, foundation, or mission-driven organizations.Strong written and verbal communication skills with excellent attention to detail.Highly organized, adaptable, and capable of managing multiple priorities in a fast-paced environment.Proven ability to handle confidential information with discretion and professionalism.Proficiency in Microsoft Office Suite and Google Workspace.Experience with event coordination, travel logistics, and executive-level administrative operations.Compensation
$40–$45 per hour, depending on experience.
