Job description

POSITION SUMMARY

The Director of Finance is the leader of the Finance department, providing support, guidance, and oversight to department team members. The individual in this position is expected to be an excellent communicator and collaborate with Job One C-Suite and Leadership to ensure that our mission is fulfilled as effectively and efficiently as possible. In addition, the Director of Finance will work closely with the Board Finance Committee to set strategy and provide financial accountability. The Director of Finance is responsible for all accounting and bookkeeping functions of the organization and is expected to demonstrate a high level of transparency and accountability in their leadership of the department.

EDUCATION

Bachelor's degree in accounting, finance, healthcare administration, business administration, or public administration.

EXPERIENCE

8+ years’ experience in financial management, accounting, and healthcare administration.

COMPUTER SKILLS

Microsoft Office : Word, Excel, Outlook, Internet, Teams. QuickBooks, Set-Works, Paycor

CERTIFICATES AND LICENSES

QuickBooks and Paycor

OTHER REQUIREMENTS

Knowledge of the basics of Nonprofit management.

Understanding of or experience in the Medicaid system

Knowledge of the system of support for people with disabilities

Valid driver’s license. Willingness to travel on company business in personal vehicle

Affirmative drug and alcohol screening

Affirmative criminal / abuse background check

ESSENTIAL JOB FUNCTIONS

  • Supervise the daily operation of the Finance Department, ensuring that the department is working together as a cohesive team. Be available to address all financial questions / concerns that may arise during the workday.
  • Demonstrates finance expertise and business management skills to improve departmental and organizational operating efficiency.
  • Ability to multitask and prioritize organizational and departmental needs to meet deadlines.
  • Provides cooperative and timely requests to and from other departments and employees.
  • Conduct and lead routine departmental meetings and include other leadership team members as needed.
  • Develop departmental goals, procedures (SOPs), and policies.
  • Demonstrates continuous accountability for departmental needs. Take responsibility for the overall effectiveness of the department.
  • Participate in Leadership Team meetings and make policy and SOP recommendations.
  • Provide necessary training to employees regarding financial SOPs and policies.
  • Maintains and analyzes monthly financial reports and identifies interventions as appropriate.
  • Identifies problems and mistakes. Holds Finance team members accountable in a timely and fair manner.
  • Consistently evaluates, educates, motivates, and assists Finance team members to achieve Job One’s goals and mission.
  • Independently recognizes and performs duties that need to be done without being directly assigned.
  • Recognizes and responds to priorities, accepts changes, and new ideas. Has insight into problems and the ability to develop workable alternatives.
  • Positively accepts constructive criticism.
  • Understands and follows all departmental policies and SOPs and is knowledgeable about and complies with federal, state, and local laws that govern business practices.
  • Abides by GAAP (Generally Accepted Accounting Principles) in preparing financial statements. Ensures the balance sheet is reconciled to subsidiary ledgers and / or supporting schedules every month; follows up on variances and posts correcting journal entries, as warranted. Analyze and interpret operating results, evaluate the financial impact on company operations, and make recommendations for improvement.
  • Recommend enhancements to accounting systems to provide a more effective mechanism for processing accounting and financial information.
  • Coordinates annual budget process, including Director meetings and report preparation. Oversees the budget-to-actual monthly variance analysis for profit and loss accounts, as reported on the Profit & Loss Statement. Supports the CEO with company financial planning and budget management functions. Manage and prepare financial forecasts.
  • Facilitates the annual audit and annual 990 data gathering. Works in conjunction with the audit firm to meet all agreed-upon project deadlines.
  • Provides oversight to the daily / weekly / monthly tasks related to full-cycle accounting and applicable financial support to Directors. Coordinates the banking account activities.
  • Manages the Accounts Receivable (AR) by overseeing the timely receipt of customer balances. Leads the Finance team and Directors in regular AR Review and problem-solving.
  • Supervise and take part in accurate and prompt invoicing of customers : processing of cash, check, credit card, and ACH payments. Preparation of accounts receivable aging to assist the management team in monitoring delinquent accounts.
  • Ensure that the proper methods for the management of bad debt accounts are followed.
  • Ensures the proper methods of receiving, recording, and depositing receipts and enforces the internal controls required for cash management. Oversee daily cash flow activity.
  • Initiate and maintain amortization schedules for notes payable and ensure lien releases are received at debt satisfaction.
  • Ensures compliance with all Missouri Department of Mental Health, Missouri Vocational Rehabilitation, Missouri Department of Elementary and Secondary Education, and Senate Bill 40 Board (eitas) funding and billing requirements.
  • Collaborates with the CEO and the CDO in the development of grant budgets, budget management, and reporting requirements. Collaborate with CDO on special event financial planning, budgeting, and financial reporting.
  • Serve as a financial resource / advisor to the C-Suite, Directors, Managers, Board Finance Committee, and Board of Directors, to analyze operational expenses and identify areas where costs can be reduced. Member of the Board Finance Committee.
  • Constantly analyze and adjust financial systems and controls to meet internal control requirements. Develop and implement internal financial control plans.
  • Provide support and assistance to the CEO and C-suite team for special projects and assignments.
  • Provide oversight of borrowing on the Line of Credit and other debt instruments.
  • Work closely with the CEO and Board Finance Committee to manage long and short-term investments (treasury management).
  • Work closely with Human Resources and the team to manage payroll processing, including accounting for payroll effectively.
  • Oversee monthly, quarterly, and yearly tax schedules, reports, and payments, and prepare various payroll reports. Ensure proper maintenance of staff and employee fringe benefit payments / deductions, payroll, and tax records, and correct staff and employee records for garnishment, levy, and support withholding orders.
  • Collaborate with CAO and HR to complete workers' compensation insurance audit and estimates.
  • Collaborate with CAO and Human Resources to ensure compliance with 401 (k) retirement administration, compliance testing, audit, and census.
