We are seeking a detail-oriented Administrative Assistant to join our team in Olive Branch, Mississippi. The role involves supporting sales and purchasing processes, handling administrative tasks, and maintaining effective communication with vendors, including those overseas. Responsibilities :
- Provide administrative support to the Purchasing Manager, including creating purchase orders and updating vendor information.
- Monitor and update orders weekly using Rubicon and maintain organized pricing spreadsheets.
- Assist with domestic purchasing tasks and ensure timely communication with vendors for updates.
- Manage office files, including creating new folders yearly and archiving older documents for storage.
- Run buying reports through Excel and analyze data for purchasing decisions.
- Maintain office supplies, ensuring printers are stocked and supply closets are organized.
- Greet visitors and customers at the office and provide assistance as needed.
- Schedule routine maintenance such as carpet cleaning and order business cards or warehouse supplies.
- Scan and distribute mill certificates to customers and organize related documentation.
- Check and manage daily mail, ensuring timely processing of incoming and outgoing correspondence.
- Proven experience in administrative roles, with expertise in data entry and office organization.
- Strong proficiency in Microsoft Excel for creating and analyzing spreadsheets.
- Excellent communication skills, with the ability to interact professionally with vendors and team members.
- Detail-oriented mindset to ensure accuracy in purchasing and documentation tasks.
- Ability to prioritize and manage multiple tasks in a fast-paced office environment.
- Familiarity with receptionist duties, including greeting visitors and managing correspondence.
- Experience with purchasing activities and vendor management.
- Comfortable working in a collaborative and culturally diverse office setting.
