Acute Pain Strategic Operations Manager
The Acute Pain Strategic Operations Manager will play a critical role in supporting the operations, planning, and execution of activities across the Acute Pain program. This individual will facilitate both daily and weekly huddles, provide cross-team administrative support, ensure seamless coordination of medical initiatives, and maintain tools and workflows that enable efficient and compliant execution of the team's goals. The role requires a high level of organizational acumen, digital literacy, and the ability to collaborate across multiple teams and stakeholders.
Key Responsibilities :
- Meeting Facilitation and Coordination
- Lead daily and weekly Acute Pain huddles including :
- Preparing and distributing agendas
- Taking detailed notes and tracking action items
- Following up with stakeholders to ensure task completion
- Cross-functional Administrative Support
- Serve as the point of contact for client's administrative functions including :
- New Activity Forms (NAFs), contracting, finance, HR, and other operational touchpoints
- Digital Collaboration & Tool Management
- Manage Microsoft Teams channels and ensure effective content organization and communication
- Provide support and training for business tools (e.g., Microsoft Teams, Smartsheet, etc.) to enhance digital literacy and team efficiency
- Event & Congress Support
- Coordinate local and regional congress logistics (e.g., tracking deliverables, managing travel and booth logistics, documentation, HCP / TL events)
- Content and Communication Support
- Assist in the drafting, coordination, and finalization of internal and external content in collaboration with cross-functional stakeholders
- Onboarding
- Manage and execute onboarding processes for new team members to ensure quick integration into the team and tools
- Budget Management
- Support budget reconciliation in partnership with the Pain Project Manager and Finance team
- Project and Workflow Management
- Maintain and optimize internal workflows, ensuring timely and efficient information flow across teams
- Support execution of Launch Plan tactical activities, including maintenance of the Acute Pain Tracker
Qualifications : Required :
Bachelor's degree or equivalent professional experience3+ years in an operational, project management / coordination, or administrative support role, preferably within the pharmaceutical or healthcare industryAdvanced Digital Literacy : strong experience with digital tools including Microsoft Teams, Smartsheet, and Microsoft Office 365 SuiteExcellent organizational skills and attention to detailExcellent communication skills : ability to work effectively across cross-functional teamsPreferred :
Experience supporting medical affairs or commercial launch teamsExperience working day-to-day with HCPs, i.e. Surgeons, Anesthesiologists, Advanced Practice Providers, etc.Budget management experience w / advanced Excel spreadsheet experienceFamiliarity with pharmaceutical compliance and regulatory requirementsAbility to translate complex concepts through images w / advanced PowerPoint experienceKey Competencies :
