Job Description : Accounts Payable (AP) Data Entry Specialist

Position : Accounts Payable Data Entry Specialist

Location : Seattle, WA (Hybrid)

Type : Contract-to-Hire

Reports to : Accounts Payable Supervisor / Accounting Manager

About the Role

We are seeking a fast, accurate, and detail-oriented Accounts Payable Data Entry Specialist to support high-volume invoice processing and ensure the integrity of financial data. This role is ideal for someone who is highly organized, tech-savvy, and thrives in a structured environment. The position offers a hybrid work schedule with both remote flexibility and in-office collaboration.

Key Responsibilities

  • Enter large volumes of vendor invoices into the accounting system with accuracy and speed.
  • Verify invoice information, coding, dates, and supporting documentation prior to entry.
  • Review and match invoices to purchase orders or receipts when applicable.
  • Maintain digital and physical filing systems for invoices and vendor documents.
  • Assist with resolving discrepancies in invoice data, pricing, or received goods.
  • Support the weekly payment cycle by preparing invoice batches for approval.
  • Maintain the AP inbox and route documents or questions to appropriate team members.
  • Assist with vendor record maintenance and data updates.
  • Support A / P team with administrative tasks during month-end close.
  • Contribute to process improvements to enhance data accuracy and workflow efficiency.

Qualifications / Skills

  • 1-2 years of experience in accounts payable, data entry, or administrative accounting support.
  • High-volume data entry experience with proven accuracy.
  • Familiarity with accounting software (NetSuite, QuickBooks, SAP, Oracle, or similar).
  • Strong organizational skills and attention to detail.
  • Ability to manage repetitive tasks while maintaining a high standard of accuracy.
  • Proficiency with Microsoft Excel and general computer applications.
  • High school diploma required; accounting coursework preferred.
  • Working Conditions

  • Hybrid schedule : 2-3 days in-office per week.
  • Contract duration : initial 6 months with strong potential to convert to full-time.
  • Compensation

  • Hourly Rate : $26-$30 / hour, depending on experience
  • Alternatively, $48,000-$55,000 / year (pro-rated for contract period)
