Administrative Assistant III, Faculty and Academic Resources
The Administrative Assistant III provides essential administrative support to the Faculty and Academic Resources office. This role supports a range of faculty-related processes, including onboarding, reporting, and maintaining records, while assisting with special projects and contributing to clear communication and the efficient day-to-day operations of the office.
Job Duties
- Deliver excellent customer service by answering and screening incoming calls, greeting visitors, and responding to inquiries from staff, faculty, students, and guests with accurate information.
- Prepare, compose, type, and proofread accurate and timely reports, correspondence, meeting minutes, spreadsheets, and other required documents.
- Manage and update web content for the Faculty and Academic Resource site to keep information current.
- Maintain and review faculty personnel files for completeness and compliance.
- Monitor deadlines for assignments and projects to ensure timely completion.
- Support the Director of Faculty and Academic Resources with special projects and initiatives to ensure successful completion.
- Prepare the quarterly Board of Regents faculty report with attention to detail.
- Assist with the tenure and promotion process by tracking timelines and notifying faculty.
- Support the Presidential Excellence Award process by tracking progress and communicating with faculty.
- Perform other duties as assigned to support the office and organizational objectives.

Required Qualifications :
Minimum of two years of administrative support experience in higher education or related field.Advanced proficiency in Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint.Strong organizational and time management skills, with the ability to prioritize and manage multiple tasks efficiently in a fast-paced environment.Excellent written and verbal communication skills, including drafting professional correspondence.Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.Experience working in a higher education environment, with familiarity with university systems and organizational structure.Knowledgeable of TSUS Rules and Regulations as well as university and Academic Affairs policies and procedures.Preferred Qualifications :
Bachelor's degree from an accredited institution.Proficient in Applicant Tracking Systems (ATS), SAP, and HRIS platforms.Experience with faculty qualifications as required by accrediting agencies recognized by the U.S. Secretary of Education (DOE) or the Council for Higher Education Accreditation (CHEA).Experienced in using Dynamic Forms for administrative and workflow processes.Job Open Date : 09 / 26 / 2025
