This position performs a variety of office duties, which ensure the proper functioning and enhance the productivity and effectiveness of the department.

The position requires someone to have an outstanding attitude, be flexible, energetic, hardworking, well organized, accurate, reliable, and eager to take on challenges and responsibilities.

PRIMARY RESPONSIBILITIES :

General office work such as filing, photocopying, processing mail, maintaining calendars and scheduling.

Answering multiple line phone system with strong phone etiquette, transferring calls, paging team members, and taking and delivering messages quickly and accurately.

Ordering supplies and confirming orders to vendors.

Signing for and receiving deliveries.

Monitoring incoming and outgoing messages via various networks, routing documents to department staff.

Database entry and updating.

Maintaining suitable inventory levels by matching received orders with purchase orders.

Sustaining accounts payable processing.

Supporting and maintaining continuous communication with buyers, analyst and planners.

Assisting the department with advertising.

Follow-up on meetings.

Coordinating departmental documentation for management approval and signatures.

Building positive and long-term relationships with vendors and guests.

Skills / Qualifications :

High School diploma or equivalent

Previous administrative work experience preferred

Strong written and verbal communication skills (English and Spanish Required)

Basic proficiency in Microsoft Excel, Word, PowerPoint and Outlook

Must be detail oriented, organized and reliable

Strong interpersonal skills : ability to work independently, in a team environment, multitask and set priorities

Ability to work overtime and weekends on a needed basis
