Position Summary :
The Office & Member Services Coordinator is the first point of contact for visitors and members, providing professional, courteous, and efficient member and administrative support. This role is responsible for maintaining a welcoming office environment, coordinating conference center rentals, managing routine facilities needs, and maintaining accurate member records in the Association Management System (AMS). Strong attention to detail, excellent communication skills, and a proactive approach to problem-solving are essential for success.
Key Responsibilities :
Front Desk & Member Support
- Serve as the primary in-person and phone contact for members, guests, and vendors, providing prompt and professional assistance.
- Respond to member inquiries, troubleshoot issues, and ensure accurate communication and follow-up.
- Maintain up-to-date and accurate member records in the AMS and other member systems.
- Process new member applications, terminations, and data updates; generate membership reports as needed.
- Support new member orientation scheduling and dissemination of materials.
Office & Facilities Coordination
Oversee daily office operations, including mail distribution, supply inventory, and vendor coordination.Serve as the first response for facilities-related needs, ensuring cleanliness, safety, and functionality of the office environment.Coordinate with contractors and service providers for routine maintenance and repairs as needed.Conduct basic aesthetic or light maintenance tasks when necessary.Serve as first response for building alarm system notifications.Conference Center & Events Support
Manage conference center scheduling, rental coordination, and renter support.Ensure meeting rooms are set up appropriately and that users have the materials and equipment they need.Assist with association events and meetings, including preparation, setup, and on-site logistics.Administrative Support
Provide general administrative support to the Chief Staff Executive (CSE) and executive team.Assist with board and committee meeting logistics, materials, and setup.Maintain organized administrative files, correspondence, and records.Participate in staff meetings and contribute to a collaborative team environment.Qualifications :
Prior experience in an administrative, customer service, or office coordination role.Strong organizational skills with exceptional attention to detail.Excellent communication and interpersonal skills.Proficiency with Microsoft Office Suite, Google Workspace, and familiarity with database systems (AMS experience preferred).Ability to manage multiple priorities in a dynamic environment.Professional demeanor and customer-focused attitude.FLSA Status : Non-Exempt
