Position Overview
Quantum Energy Solutions is seeking a detail-oriented and professional Administrative Services Representative to serve as the first point of contact for clients and visitors while providing vital administrative and customer support to our growing energy sales team. This role requires a dependable individual with strong communication skills, a polished demeanor, and 5–7 years of administrative or customer service experience in a professional office setting.
Key Responsibilities
- Greet clients, visitors, and vendors with professionalism and ensure a welcoming office environment.
- Manage inbound calls and emails, routing inquiries to the appropriate departments efficiently.
- Support daily office operations, including document management, scheduling, and supply coordination.
- Assist with customer requests, account follow-ups, and communication with energy providers as needed.
- Maintain records of contracts, correspondence, and account status updates in company systems.
- Provide administrative support to HR, Sales, and Operations teams as required.
- Help organize company events, meetings, and job fairs.
- Uphold confidentiality and represent QES with professionalism at all times.
Qualifications
5–7 years of administrative, customer service, or office support experience (energy or sales industry preferred).Strong communication and interpersonal skills; professional verbal and written etiquette required.Proficiency in Microsoft Office Suite (Outlook, Excel, Word) and basic CRM or database systems.Excellent organizational and multitasking abilities with attention to detail.Demonstrated reliability, discretion, and ability to handle confidential information.Compensation & Schedule
Salary : $39,000 – $50,000 annually (based on experience)Schedule : Monday–Friday, 8 : 00 AM – 5 : 00 PM (in-office)Benefits : Paid holidays, PTO, and performance-based incentives
