Overview

Job Title : Facilities Coordinator

Location : Addison – In-Office

Schedule : M - F 10 AM - 6 PM or 11 AM - 7 PM

Job Type : Full-Time

Pay : $18.00 – $20.00 per hour

Expected Hours : 40 per week

Job Summary :

CheckSammy is seeking a proactive and detail-oriented Facilities Coordinator to support day-to-day service request management and ensure a smooth flow of communication between clients and vendors. Candidates with prior dispatching or logistics coordination experience are strongly encouraged to apply.

This role handles client requests from initiation through completion, including service dispatching, vendor communication, and tracking job statuses. The ideal candidate multitasks across phone, email, and SMS while maintaining a professional and responsive approach.

Responsibilities

  • Service & Job Management : Manage incoming service requests from new and existing clients
  • Create, track, and update job tickets in internal systems
  • Ensure timely communication and updates to clients regarding job status, delays, or issues
  • Coordinate with third-party vendors to dispatch and complete service requests
  • Source and onboard new vendors as needed for service coverage
  • Communication & Coordination : Respond to clients and vendors via phone, email, and SMS
  • Maintain accurate and organized records, including job notes, photos, and documentation
  • Inform clients of job completions, cancellations, or delays in a timely manner
  • Support internal teams by providing relevant updates or escalations when needed
  • Administrative & Clerical Support : Maintain up-to-date tracking systems with all required job documentation
  • Ensure proper vendor payment details and records are submitted
  • Support team goals and service level expectations
  • Perform additional duties as assigned

Qualifications

  • 1+ year of experience in customer service, dispatching, data entry, or clerical support
  • Familiarity with vendor coordination, service scheduling, or facilities / logistics is a plus
  • Intermediate proficiency in Microsoft Office (Outlook, Excel, Word)
  • Strong written and verbal communication skills
  • Ability to manage multiple priorities and remain calm under pressure
  • Highly organized, dependable, and team-oriented
  • Associate degree or higher (or equivalent experience)
