Under general supervision, the Accounting Assistant provides essential support to the Accounting department by performing a variety of accounts payable, accounts receivable, payroll, and general accounting tasks. This position is responsible for processing transactions accurately and efficiently within the Quantum Design's ERP system, maintaining organized financial records, and supporting day-to-day accounting operations. The ideal candidate is detail-oriented, dependable, and capable of managing multiple responsibilities in a deadline-driven environment.

In this role, you will :

• Be responsible for preparing and issuing accurate customer invoices, processing daily cash receipts, and recording weekly bank deposits in the ERP system to ensure timely and accurate revenue tracking.
• Processes vendor invoices by matching them to purchase orders, verifying documentation, categorizing expenses correctly, and ensuring timely payment via checks or EFT.
• Review non-PO invoices for proper approval and resolves discrepancies related to vendor statements or invoice issues.
• Review and processes employee expense reports in compliance with company policies, ensuring proper documentation and timely reimbursement.
• Maintain accurate accounting records, including spreadsheets, reports, and supporting documentation, and ensures organized filing in compliance with document retention policies.
• Create and maintain general filing systems by sorting, labeling, organizing, and retrieving documents in accordance with established file retention and storage procedures.
• Provide backup support for payroll processing, including verifying timesheets, calculating hours worked, and ensuring accurate application of earnings, deductions, and withholdings.
• Maintain confidentiality of payroll data and employee information in accordance with company policies and applicable labor regulations.
• Assist with payroll reporting and reconciliation, ensuring accuracy of payroll-related journal entries and resolving discrepancies as needed.
• Perform general accounting administrative tasks, including data entry, scanning, document filing, and record maintenance to support overall accounting operations.
• Other duties may be assigned.

Salary Description
