Community Operations Specialist
The Community Operations Specialist helps ensure smooth day-to-day community operations by supporting the Executive Director in both administrative and wellness operations of the community. This role assists with business office functions, human resource administration, wellness and resident care support, resident and associate satisfaction.
Essential Job Functions
- Administrative & Business Office Support
- Assist with accounts payable, receivable, petty cash, and resident billing using Yardi and related systems
- Maintain accurate and confidential associate and resident files
- Support the resident move-in / move-out process, admissions paperwork, and billing
- Provide back-up coverage for front desk or concierge as needed
Human Resources & Onboarding
Support recruitment and onboarding efforts by coordinating interviews, verifying credentials, and welcoming new hiresFacilitate new hire orientation and assist with benefit enrollment and associate training logisticsMaintain accurate records in UKG, Relias, and other HR systems to ensure compliance with license, certification, and training requirementsTrack attendance, callouts, tardiness and communicate trends to the ED or RCDContribute to associate engagement efforts by supporting recognition, communication, and training initiativesScheduling and Labor Management
Create and manage care staff and nursing schedules to ensure adequate coverageCollaborate with the RCD to manage schedules, overtime, and shift assignmentsMaintain accurate daily assignment and task lists (CRMA, RCA, etc.)Training and Compliance Coordination
Assist with planning staff in-services and required trainings. Coordinate with RCD and outside agencies when additional training or certifications are necessaryMaintain training records; update logs and verify completionSupport committees and safety initiatives as assignedWellness and Resident Support
Partner with the RCD and Sales Director to coordinate medical documentation for resident assessments and move-insSupport non-clinical resident wellness needs, including supply management, continence program tracking, and appointment coordinationAssist with family communication, care plan meetings, and follow-up on non-clinical resident concernsMaintain accuracy of resident records and ensure compliance with resident rights and privacy standardsState-Specific Responsibilities (ME & NH)
Assist with flu shot authorizations and permissions, updated medication lists, and first-of-month vitals / weightsSupport documentation accuracy (ADL / MAR, task sheets, shower and dietary lists, refrigerator checks, etc.)Participate in committees (e.g., Weight Variance Committee) and provide documentation support as neededQualifications
Associates degree in related fieldMinimum of one year in accounting, human resources, with related administrative experienceStrong interpersonal and communication skills; ability to interact professionally with residents, families, and associatesHighly proficient in Microsoft Office Suite; experience with Yardi, UKG, or Relias preferredMinimum Eligibility Requirements
