Executive Assistant To The First Vice President / COO

The Corporate Affairs Department is part of the Strategic Bank Services (SBS) Division. SBS provides leadership, strategic counsel, and services to Bank stakeholders in the areas of governance and executive support, communications and government relations, strategy and risk, and human resources. Corporate Affairs is responsible for executive support for the President / CEO, the First Vice President / COO, senior executives, and includes the Office of the Corporate Secretary and the Chief of Staff function.

This position is critical to the smooth and successful operation of all activities of the Office of the First Vice President / COO. The Executive Assistant (EA) is responsible for high-level administrative support and often serves as the first point of contact for the Office, working closely with the Chief of Staff, the Public Information Officer and the Corporate Communications team. Acting as a conduit between the First Vice President / COO and all of the entities with which he / she is involved, including but not limited to : staff from the Bank, the Board of Governors (BOG), and the greater Federal Reserve System; government, academic and charitable organizations in New England and beyond; and local, national and international business leaders, this position reflects and supports the Bank's leadership and culture. The position requires unassailable discretion, the ability to think strategically, a customer experience mindset, and proven ability. It also demands a high level of organizational, communication (both written and verbal) and technological skills, as well as an ability to connect to the Bank and First Vice President / COO's strategy. The ability to handle ambiguity, anticipate, multi-task, and set priorities are a must.

The scope of the role includes, but is not limited to :

  • Understand the daily, near term and annual priorities of the Bank and the Office, and work with the First Vice President / COO and those inside and outside of the Bank to ensure the priorities of the Office can be met, including a full range of executive management and office management activities.
  • Summarizing and managing large quantities of internal and external correspondence to ensure prompt responses. Strong ability to communication verbally and written information or requests to the appropriate officers / staff in the Bank.
  • The ability to drive innovation within your role and the proven ability to leverage technology and adapt to new tools such as AI
  • Partnering with the Chief of Staff and Public Information Officer, handling the communications for all contact with the Office, with a keen awareness of the First Vice President / COO's and the Bank's priorities.
  • Strategic schedule management with ability to balance customer experience with tradeoffs needed by a senior executive.
  • Coordinate complex travel arrangements and execute reimbursement processes.
  • In collaboration with internal Bank key stakeholders, ensure materials prepared are comprehensive and display consistent content accuracy, tone, version control, style and grammar.
  • Assist the First Vice President / COO in a wide array of activities related to Bank initiatives and Federal Reserve System committee work.
  • Together with the Chief of Staff, Public Information Officer, and Corporate Communications :
  • Maintain contacts to support relationships with numerous civic and business leaders with which the First Vice President / COO works on behalf of the Bank.
  • Support event coordination, including the coordination of internal staff and external contacts relating to speeches and public appearances.
  • The Executive Assistants of the President / CEO and First Vice President / COO work together to ensure coordination of all matters, and with the broader senior executive support team to ensure follow-through on Bank issues and objectives.

Expectations and requirements :

  • This position is not required to directly supervise others.
  • Minimum of 5 years of senior executive support experience; certifications and experience with technology such as copilot and other AI integrated tools is a plus.
  • Must be highly detail-oriented and can handle competing priorities.
  • Outstanding oral and written communication skills that effectively reach all levels of the organization.
  • Ability to adapt to a rapidly changing environment and, generate effective and innovative solutions.
  • Proven record of exceptional business judgment, flexibility, and integrity.
  • Exemplary relationship building and diplomacy skills.
  • Other requirements :

  • Eligibility to work in the United States or eligibility for security clearance which necessitates the candidate be a US Citizen.
  • Residency in the First District within commuting distance of the office as the position is required to work on-site.
  • Salary range for this position is $97,700 - $120,900 - $145,100. The Boston Fed believes in salary transparency. The final salary and offer will be determined by the applicant's background, skills, internal equity, and alignment with market data.
