Job description

Administrative Coordinator

The Administrative Coordinator for Butter is an integral part of the day-to-day operation. The position is Monday-Friday 6 : 00am-2 : 30pm with overtime as needed.

Responsibilities

The coordinator assists the department by providing data tracking and analysis on daily paperwork, monitoring department spending vs. budget, production efficiency / equipment utilization. Actively participate and help lead the safety, environmental and shrink committee.

Job duties are as follows but not limited to :

  • Pick up and scan / file daily documents located in butter, and Administrative Mailbox
  • (Admin. building)
  • Organize file cabinets, drawers, black carts, keep printers stocked with paper and ink
  • Maintain butter safety brakes, including entering them into Enablon System
  • Maintain operations black file cabinets, stocking with all up to date and appropriate production forms.
  • Order supplies for employees as needed (shoes, vouchers and uniforms)
  • Audit confined entry permits-ensure compliance of permits
  • Control file system for paperwork trail on daily butter production (archive as needed)
  • Assist butter supervisor with quality paperwork requirements. Production reports, metal detector sheets and HACCP compliance, and file accordingly
  • Assist with any quality / customer needs on production paperwork from customer service or the release process
  • Assist quality and operations with customer audit preparation, gather documents
  • Create, maintain and develop spreadsheets for tracking requirements under the supervision of management
  • Assist with cycle counting as needed
  • Collect documents in banker boxes, label and place in storage (Quarterly / Annual basis)
  • Assist with work order completions (daily), churn run sheets
  • Collect and maintain reprocessing logs
  • Review daily shift documents for accuracy
  • Update daily KPI's efficiency charts
  • Organize communication boards
  • Maintain vacation calendar
  • Route mail accordingly
  • Create purchase orders
  • Receive ordered items into the Churn purchase order system (Churn run sheet, daily work order completions)
  • Order office supplies
  • Work with plant supervision and HR department to enhance the communication between the two and keep paperwork flowing
  • Any other duties assigned by the Department Manager

Physical Demands

While performing the duties of this job, the employee is occasionally, and / or frequently required to walk sit; use hand to finger, handle or feel objects, tools, or controls; reach with hands and arms; balance; stoop; climb up and down stairs and ladders; talk or hear. The employee must occasionally lift and / or move up to 25 pounds. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception and the ability to adjust focus.

The employee is exposed to weather conditions prevalent at the time. The temperature of the work environment can fluctuate due to occasional temperatures from cold / cool to warm / hot. The noise level in the work environment is occasionally loud and will require ear plugs. While working in the manufacturing areas, the employee is required to wear personal protective equipment.

Qualifications

This position requires :

  • Proficiency in Microsoft Office is a must, Excel (Intermediate), ability to use scanners, fax machines and Power Point
  • Strong communication skills and analytical skills desired
  • Must be able to follow verbal, written instructions
  • Able to multi-task and organize duties
  • Must be detailed oriented
  • Self-motivated, self-starter
  • To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

    Salary Range : $33,200 - $49,800

    In most cases, candidates offered employment can expect to be hired at a pay rate near the middle of our salary ranges.

    Minimum Requirements :

  • High School Diploma
  • 2-3 years' experience in an administrative / coordinator role within a manufacturing environment.
