¨ The Billing and Compliance Assistant is a part-time, entry level employee who will assist in multiple aspects of billing and compliance maintenance and clerical support. Reporting Relationship
¨ Reports to Executive Director
Responsibilities / Activities
¨ Maintains files and documents in an organized format as outlined in agency procedures. ¨ Oversees client and employee file and database maintenance.
¨ Ensures that all forms and documents including but not limited to monthly summary notes and billing documentation are received in the office by the 5th of the month.
¨ Conducts monthly compliance audits by ensuring the presence of monthly compliance documents including but not limited to safety drills, monthly summaries, monthly site visits, etc.
¨ Submit and file billing and invoices.
¨ Enter billing information into the appropriate databases.
¨ Is well versed in agency policies, procedures and protocols.
¨ Sends appropriate information and documentation to case management agencies, guardians and other key stakeholders as needed and appropriate.
¨ Assists with new client onboarding and transition, including but not limited to assistance with gathering appropriate consents, preparing documents, preparing main file, gathering orders and medical information and ensuring new client medical providers are established.
¨ Maintains client files and record compliance and enters information into appropriate databases.
¨ Ensures that all medical forms and documentation for all clients are complete, accurate and received in a timely manner.
¨ Communicates with and provides information to clients, case managers, guardians and other key stakeholders on a consistent basis and following appointments as needed. ¨ Enters incident information into appropriate databases.
¨ Ensures HRST is updated with new client information in a timely manner as necessary. ¨ Ensures all forms and documents are received from case managers in a timely manner and in accordance with regulations.
¨ Develops fluency in organization’s electronic records, project management software
and other software programs and trains others as necessary.
¨ Maintains forms, documents, files, etc.
¨ Maintains files and documents in an organized format.
¨ Supports other leaders with administrative tasks as necessary.

¨ High school diploma and two-years experience working in a clerical role. Associates degree preferred.
¨ Has a social security number or valid work permit.
¨ Current driver’s license.
¨ Proper Vehicle Insurance Coverage.
¨ Background checks and drug screening that meets regulatory requirements.
¨ Requires job and Agency related training.
