HR Representative - Basic Sciences
Join our dynamic team as the HR Departmental Representative for multiple Basic Science departments and select Centers & Institutes in the School of Medicine! In this pivotal role, you'll be the go-to resource for all things HRdriving recruitment, support compensation activities, fostering employee development, and partnering with leadership to create a thriving workplace.
This position will be responsible for supporting all aspects of human resources including, but not limited to, recruitment, classification and compensation, training and development, employee relations, policy interpretation, visa processing, and consulting with leadership on the needs of the organization and its employees. This position will perform a variety of specialized, complex activities within the Human Resources function with a strong emphasis on proactive problem resolution and departmental communications. This position reports to the HR Departmental Director, with a dotted line to the Chief Administrative Officers within the supported organizations.
Work Arrangement Hybrid. Anticipated Pay Range - USD $59,829.00 to USD $86,700.00. Your total compensation goes beyond the dollars on your paycheck. MINIMUM QUALIFICATIONS
Education / Training - Work requires organizational, analytical and communication skills generally acquired through the completion of a bachelor's degree program. Experience - Work requires two (2) years of business, administrative and / or supervisory experience with exposure to supervisory or human resource policies and practices related to employee relations. A master's degree in a related field may be substituted for 2 years of experience. OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND / OR EXPERIENCE.
Work Performed
Recruitment (25%)
- Manage process for new and replacement positions including Vacancy Management Approval process and position creation.
- Assist supervisor in creation of an accurate and compelling job description.
- Coordinate and manage requisition posting, recruitment, screening, and interviewing of applicants for departmental positions.
- Ensure departmental compliance with EEO and other applicable requirements. Draft, create, and review job offer letters in alignment with organizational policies and employment laws. Design and implement departmental onboarding and orientation processes.
Compensation (20%)
Generate and evaluate regressions for offers; pull relevant data and assess the appropriateness of position classification and equity reviews.Manage the processing, communication and records management of all salary adjustments and reclassifications.Staff Growth & Development (10%)
Support and administer departmental employee recognition and engagement programs.Guide managers on staff development processes, as well as advise on matches for employee skill gaps through training and development offerings and liaise with Duke L&OD as needed.Communicate expectations and track PEP / midyear review completion and any next steps.Provide career conversations for staff as requested.Make recommendations to ensure the creation of a work environment that is collaborative, inclusive and welcoming for all.Employee Relations (25%)
Assist HR Director in the handling of employee relations issues, complaints and / or grievances and determination of appropriate disciplinary actions through assisting in intake for investigations, data report creation or requests as needed, and draft corrective actions.Ensure maintenance of appropriate personnel records, following all guidance provided through Duke's record retention policies.Assist in the RIF process through data gathering, document drafting and tracking of all plans. Review OESO compliance reports, including flu compliance, and notify appropriate manager and staff to reach necessary completion.Research and help interpret personnel policy intent and / or acceptable management practices to ensure fair and consistent application of University and Medical Center policy; work with business manager to communicate and uphold departmental policies.Department Support (15%)
Provide frontline HR support to all department employees, students, and visitors as first point-of-contact to the administrative office.Coordinate staff transactions with HRSC and provide supporting information, forms, and documents.Assist with APT coordination including preparation of necessary documentation for faculty and postdoc hires; follow-up with APT or responsible hiring School or Department, in the case of joint hire.Ensure that work-study students stay within their allotted hours and that postdocs are in the proper positions.Assist with faculty and postdoc appointments and promotions by managing information in dFac and assist with annual salary letters or reappointments.Perform other related duties incidental to the work described herein.
