Job Title : Human Resources Administrative Assistant
Department : Human Resources
Accountability : This position reports to the Human Resources Supervisor
Administrative Responsibilities :
- Greet and screen visitors; ensure they sign in and receive appropriate visitor badges if necessary
- Answer, screen, and distribute incoming phone calls and voicemails
- Notify staff when visitors arrive for scheduled meetings
- Serve as gatekeeper for office staff regarding sales solicitations
- Prepare and process outgoing mail, including certified mail, and distribute incoming mail
- Maintain funds and supplies for the postage meter
- Stock conference rooms, training rooms, and coffee bars with coffee, condiments, and water
- Schedule and manage multiple calendars in Outlook
- Manage calendar invites for employee birthdays and anniversaries
- Prepare and mail birthday and anniversary cards to employees
- Assist with general administrative tasks as assigned
Human Resources Support :
Provide administrative support to the HR department, including maintaining and processing employee documentation and personnel recordsAssist with HR events, employee communications, and company-wide meetingsAssist with vendor selection for food, ordering of tables / chairs, and appropriate giftsSupport onboarding activities and help maintain employee files and databasesCollaborate with HR team members on employee engagement and recognition programsProvide assistance to employees with basic HR inquiriesSupport HR initiatives across multiple shifts as neededManage the stocking and inventory of employee uniformsAssist in HR projects as neededRequirements :
High School Diploma or GED required; Associate’s or Bachelor’s degree in HR, Business, or related field preferred2+ years of administrative or HR support experience preferredMust have a pleasant, professional, and helpful mannerStrong attention to detail and organizational skillsExcellent verbal and written communication skillsProficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)Ability to multitask and prioritize in a fast-paced environmentComfortable operating office equipment and maintaining suppliesComfortable communicating professionally and effectively with employees at all levels, including executive leadershipAbility to understand written and verbal instructions in EnglishTeam-oriented with strong interpersonal and customer service skillsKnowledge of HR laws and regulations a plus.Work Environment – OfficeOffice EquipmentChemicals, (See MSDS)DustNoisePrepared by : Human Resources
