Senior Field Coordinator

The Senior Field Coordinator role will provide diverse administrative and subject matter expert support to the US Commercial Effectiveness Director, Area Vice Presidents, Regional Business Directors, Field Sales personnel, and home office personnel within a high growth environment. Utilizing Microsoft Office and other programs, the Senior Field Coordinator will maintain information encompassing the highest level of confidentiality, make decisions in support of the field sales organization and interact with all levels of the workforce including business partners, customers, affiliates, and faculty.
This individual will adhere to company retention policies, maintain performance documents, and customer exchange documentation. The Senior Field Coordinator will manage and assist the managers in certain employee-related activities such as onboarding, off-boarding, and transfers of the employees. This individual frequently consults with business partners and field sales on function-specific policies and procedures and prepares communications, presentations, custom reports, and sales analyses.
The Senior Field Coordinator will be responsible for, but not limited to, the following :
- Anticipate business needs and act to fulfill with minimal supervision.
- Exercise sound judgment and confidentiality to assess and resolve complex situations / problems and respond to frequently shifting priorities across multiple departments.
- Acts as a role model to educate and share business information to peers.
- Serve as communications liaison and information resource between outside vendors, home office departments to and from field sales personnel.
- Utilize business knowledge to develop, improve, and support on-boarding and off-boarding procedures and communicate to Field personnel.
- Actively stay informed of company policies, procedures, and guidelines relevant to the functioning of the organization and provide guidance to applicable staff.
- Collaborate frequently with senior management to solve complex problems regarding project, department, or division-related work.
- Schedule meetings through Zoom or Teams, secure call-in numbers, prepare meeting agendas and presentations and manage attendance and logistics.
- Manage field sales organization roster and email distribution lists.
- Draft correspondence, organization charts and presentations.
- Arrange domestic travel, complete travel expense reports, and manage logistics travel-related activities.
- Manage agreements and contracts with outside consultants and contracts; establish PO's and work agreements per J&J company policies.
- Provide administrative support to Field Sales Leadership for day-to-day operations and individual projects.
- Handle confidential business and HR matters (email, correspondence, files, documents) with highest level of professionalism.
- Manage and execute sponsorships, exhibits, displays and payments for trade shows, conferences and symposiums for BWI organization.
- Facilitate all personnel movements to include : on-boarding, off-boarding, transfer, and promotion activities and provide communication to field management and new hires / separating employees regarding J&J procedures.
- Conduct bi-weekly new hire orientation meetings and maintain associated presentations.
- Consult with business partners and field sales on function-specific policies and procedures (Fleet, Mobility, Credentialing).
- Liaison between other J&J MedTech opcos and BWI for Field administrative tasks (on-boarding processes, vendor credentialing, fleet, mobility, Exhibits, EHS, etc.)
- Manage supplier-related programs for field associates (dosimeters, giveaways, office supplies, awards)
- Manage employee recognition programs such as Spotlight, Credo, Winning Spirit, and Inspire
- Collect and validate field trainer compensation requests quarterly.
- Participates in special projects and performs other duties as assigned / requested
The anticipated base pay range for this position is $55,000 to $99,000.
