Pay Rate / Range : The budgeted salary range that the University reasonably expects to pay for this position is $31.47 to $36.00 / hr. Salary offers are determined based on final candidate qualifications and experience; the budget for the position; and the application of fair, equitable, and consistent pay practices at the University. The full salary range for this position is $31.47 to $55.12 / hr.

Working Days and Hours : Monday - Friday 9am - 6pm with some weekend & evening events

The UC Santa Barbara Office of Development blends the strengths of both a centralized and a decentralized operation. Arts and Lectures (A&L) is a large, robust, complex, primarily self-supporting, non-academic unit that supports the academic mission of the university. A&L is the largest presenting organization between Los Angeles and San Francisco, and is one of the most visible, public-facing departments at UCSB. Through more than 150 events annually, A&L partners with faculty and academic departments, community organizations and leaders, university administrators, philanthropists and funders to create opportunities that integrate with and complement university curricula and create community connections.

Brief Summary of Job Duties :

Under the general supervision of the Sr. Director of Development, the Prospect Management & Donor Research Specialist (Specialist), Arts & Lectures serves as a key analyst for the Development Team in Arts & Lectures in coordination with Central Development's Prospect Management, Development Research and Donor Relations units. The Specialist supports a complex and multifaceted program covering all programs within Arts & Lectures. Working closely with the development team, the Specialist provides leadership for all analytical functions that support the strategic goals, initiatives and projects leading toward the philanthropic support from individuals, foundations and organizations to Arts & Lectures with an emphasis at the $2,500+ level. The specialist establishes, develops, and maintains comprehensive systems within the unit in coordination with Central Development; supports the Arts & Lectures Development team in short and long-term strategic planning, "moves" management, research of prospects, portfolio recommendations, project planning and stewardship activities for program development, complex events and implementation that is focused on achieving operational and fundraising goals for Arts & Lectures. Proactively plans, organizes, and attends strategy meetings and coordinates follow up for Major Gift prospects; prepares materials and reports that analyze the activities, progress, and goals of the Arts & Lectures Team; ensures the consistency, timeliness, and accuracy of information disseminated to donors, prospects, and internal constituents. Reviews and analyzes data as it relates to fundraising strategies, prospect identification, prospect management and associated trends. Coordinates communication and works closely with Development Research on collaborative projects and related prospect issues. Identifies, manages and completes special projects for other fundraising goals as needed. Responsible for a high level of prospect and gift analysis, and research reporting to the development team. Provides analytical reporting to the development team and Executive Director as appropriate. Proactively identifies issues and solutions and makes recommendations to the Team.

Required Qualifications :

  • Bachelor's Degree or equivalent combination of education and experience
  • 1-3 years of experience with donor database or CRM software (e.g. Advance, Raiser's Edge, Blackbaud, etc.)
  • Excellent computer skills including proficiency in Word, Excel, PowerPoint, Google Suite and demonstrated ability to quickly learn various software programs.
  • This position requires the utmost degree of confidentiality

Preferred Qualifications :

  • Ability to effectively solve problems and demonstrate sound reasoning, judgment and proactive communications
  • Excellent grammar, composition and proofreading skills
  • Ability to interpret policies and procedures and accurately communicate them to others
  • Special Conditions of Employment :

  • May be called upon to work occasional evenings and weekends at various Arts & Lectures, Development Office, Institutional Advancement or campus-wide events.

    50% Complex Analysis & Research

  • COMPLEX ANALYSIS : - Collaborates with development leadership on comprehensive complex analysis of prospect pool, area program plan, and prior year gift results to inform figures for annual fundraising dollar goals. Collaborates with central Prospect Management team, Executive Director and Fundraisers to inform annual prospect activity and solicitation goals in line with A&L leadership expectations. - Maintains an active awareness of goals, objectives, and directions of the development program as a whole. - In conjunction with Executive Director and fundraisers, assists in developing a comprehensive plan that addresses the goals, objectives and needs set by the Arts & Lectures Development Team. Provides tracking leadership to A&L fundraising staff on prospect coordination issues for cultivation and solicitation purposes. - Working closely with the senior fundraisers, and the Prospect Management and Tracking ("PMAT") team to properly assign new prospects to the appropriate fundraiser for initial qualification and cultivation purposes. Provides complex prospect analysis for fundraisers including identifying target areas for prospect pool growth, prospect activity and solicitations, and support of moves management, including working closely with the Annual Fund & Membership Manager to build a pipeline of ticket buyers to become donors. - In coordination with Central Development Research and A&L Annual Giving & Membership Manager researches new prospects using a variety of databases and online resources. Creates fundraising analysis reports for Arts & Lectures; reviews current and past reports and makes recommendations for follow up with donors. Creates prospect profiles upon request. Manges a tracking and updating process for profiles and briefings and general donor information in concert with central Advancement Services unit. - Provides analytical support to the Team utilizing a solid understanding of UC Santa Barbara Foundation financial reports, Advance database, Tessitura database, AWA reports, and UC policies and practices and other online tools. - Interprets prospect and donor information, and facilitates communication regarding prospects to staff of all levels and technical abilities. Requires excellent analytical and communication skills, both written and verbal. - Troubleshoots / problem solves regularly to obtain required information that will coordinate and track fundraising activity. - Performs analyses to assess the effectiveness of overall strategies.
  • REPORTING AND DATA ANALYTICS : - Uses Advance and Tessitura to develop ad-hoc database queries to identify and segment target populations, research prospects and donors, analyze prospect and donor constituencies, and support a range of business decisions. - Produces tailored gift reports and background data from the Advance and Tessitura databases for use in meetings with Executive Director, A&L leadership team, and volunteers - Produces and designs impact projects and reports for donors working in collaboration with development officers, A&L leadership and others as needed. - Develops new analytical reports that provide accurate projections of gifts in the pipeline and demographic snapshots of prospect pool. Prepares and distributes prospect management and research reports.
  • 50% Coordination, Project Management & Strategic Development - Develops and maintains reports, presentations, and planning tools to enhance processes and address the business needs of the overall fundraising operation. - Works collaboratively with Advancement Services ato ensure the data integrity of Arts & Lectures prospect information and develop reporting. - Synthesizes material from multiple sources, compiles and edits into coherent, accurate and concise research profiles and summaries, using established standards of style, grammar and content. - Reviews and edits proposals, gift letters and other gift documents. - Work with campus partners to ensure select A&L gift funds are being expended for purposes of donor stewardship and accountability. - Supports donation paperwork for the Office, including UDEV forms. Includes coordination with the Advancement Services unit, Gift Administration unit, and the UC Santa Barbara Foundation. Processes development officers' business expense card as needed. Support development officer calendaring as needed. Supports select communication, outreach and marketing activities relating to A&L team development efforts and strategic initiatives. - Helps coordinate and prepare Developement Officers and A&L Leadership team for donor visits, solicitations, Advisory Council and Ambassador meetings and high-level events. - Helps coordinate high-level developmentn events. Tasks include but are not limited to : event coordination and logistices, creating strategic event invitation lists, preparing briefing materials and post event follow up with a high level of coordination working with campus stakeholders. - Provides analytical support to the fundraisers utilizing a solid understanding of UCSB Foundation financial reports, Advance and Tessitura databases, AWA reports, and UC policies and practices. - Adheres to Office of Development Prospect Services best practices and policies for prospect & portfolio management and development research protocols and metrics. - Actively participates in development, analyst, and / or division-wide group meetings.
