Westaff currently recruiting for Administrative Assistant in the Durham, NC area.
Hourly rate of Pay : $36.00
Shift : 8am-4pm Monday-Friday (30 min meal break) 37.50 hours per week.
Executive level administrative support. Work may be confidential and sensitive in nature and range from general office support assignments to administrative responsibilities involving decision-making, judgement, and tact.
Public contact is a significant function including contact with program staff, managers of other units within the organization as well as representatives external to the organization.
Duties Include :
- Serves as the point of contact to determine appropriate course of action.
- Research & follows up on a broad variety of issues that may be sensitive and confidential in nature.
- Manages calendar; responds to meeting requests; manages conflicting requests based on the goals, priorities and commitments of the manager and exercises the authority to schedule / reschedule meetings.
Resolve situations and conflicts using initiative and judgement.
- Plans and organizes logistics for meetings & events. Prepares or reviews PowerPoint presentations or agendas. May attend meetings to record minutes and preform necessarily follow up.
- Works to deliver day-to-day objectives that directly impact the achievement of results for the unit / dept.
- Communicates within and outside unit / dept. to obtain information or explain practices and policies.
- Processes account payable for assigned accounts.
- Serve as primary contact for assigned accounts.
- Manage accounts and keep accounting current as necessary.
- Communicates with vendor and County personal / officials regarding invoices.
- Resolves discrepancies and expedites the accounts payable process as necessary.
- Process various monthly reconciliation reports.
- Receives and responds to inquiries, concerns, complaints. And requests for assistance in areas of responsibility.
- Attends training, meetings, seminars and / or workshops as required to enhance job knowledge and skills.
Knowledge / Experience :
Requires broad knowledge of operational systems and practices typically gained through extensive experience, technical training, and / or advanced education.
- Executive level of experience
- BS Business Admin or higher
Knowledge, Skills & Abilities :
Strong communication skills (both written and oral), strong customer service and excellent interpersonal skills.
- Ability to listen and understand what is being described as well as the ability to explain problem resolution when necessary.
- Excellent organizational and time management skills
- Demonstrated proficiency in computer operating systems and use of Microsoft Office Suite.
- Ability to manage multiple assignments requiring attention to detail.
