International College of Health Sciences (ICHS) is seeking a highly organized and proactive Executive Assistant to provide critical administrative support to the Chief Operating Officer (COO). This role is essential to ensuring efficient office operations, timely communication, and effective coordination of executive activities within the organization. The ideal candidate will bring professionalism, discretion, and exceptional organizational skills to a fast-paced environment dedicated to advancing healthcare education and supporting operational leadership.

Position : Onsite - Boynton Beach, FL

Purpose

The Executive Assistant is responsible for managing daily operations related to the COO’s office, including calendar management, internal and external communications, handling highly confidential matters, and maintaining organized administrative processes. This position is pivotal for supporting operational initiatives, maintaining information flow, and enabling strategic priorities through strong logistical and interpersonal capabilities.

Responsibilities

Executive and Administrative Support

  • Manage and coordinate the COO’s calendar, meetings, and travel arrangements.
  • Handle scheduling, meeting preparation, and follow-up including agendas, minutes, and action item tracking.
  • Screen and prioritize communications, including calls, emails, correspondence, and requests from internal and external stakeholders.
  • Prepare and edit correspondence, reports, presentations, and other documents as required.
  • Support the planning and execution of executive events and special projects for the COO.
  • Serve as a liaison between the COO and other staff, faculty, students, and external partners.

Information and Record Management

  • Maintain and continuously update filing systems, contact databases, and administrative records, ensuring accuracy and confidentiality.
  • Organize and safeguard confidential materials, ensuring compliance with company policies and relevant laws and regulations.
  • Coordinate flow and distribution of information, ensuring all deadlines are met.
  • Operational Coordination

  • Assist in the management of office supply inventory and resource allocation for the COO’s office.
  • Manage and coordinate cross-departmental and special assignments requiring COO oversight or support.
  • Greet visitors, determine access, and coordinate logistics for onsite executive meetings with the COO.
  • Other Duties

  • Respond efficiently to routine inquiries and requests for information.
  • Undertake additional projects and responsibilities as assigned to support the COO and company operations.
  • Requirements : Qualifications

    Education / Experience / Knowledge

    Bachelor’s degree or equivalent is preferred, administrative experience required. Minimum of three (3) years supporting C-level executives or in progressively responsible administrative roles. Post-secondary education experience is preferred. Coursework in paralegal studies, legal administration, or a closely related field preferred; equivalent relevant experience will also be considered.

    Required Skills :

  • Demonstrated ability to handle sensitive and confidential information with integrity.
  • Strong communication skills, both written and oral.
  • Superior organizational, multitasking, and time management abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with office management systems and databases is a plus.
  • Professionalism, discretion, and sound judgment.
  • Ability to work independently and collaboratively, managing multiple priorities and deadlines in a fast-paced environment.
  • Additional Information :

  • Full-time, salaried position; may require evening or weekend availability as needed to provide executive support.
  • Ability to stand for extended periods; frequently required to sit, reach, climb, stoop, kneel, crouch, or lift up to 50 pounds unassisted.
