Student Health Services - Administration :
UCF Health - Student Health Services (SHS) provides various primary and specialty care services to help keep students, faculty and staff at their optimum health. The Health Center is located on the Main Campus, and satellite clinics are located at the Health Sciences and Downtown campuses. The Opportunity :
UCF's College of Medicine Student Health Services department is currently accepting applications for Administrative Coordinator III. This position will provide high-level, confidential support to the Executive Director. This is a critical role responsible for managing administrative duties and assignments for the Director, requiring strong organizational skills and the ability to build effective working relationships with faculty, staff, providers, and students across the university.
Responsibilities :
Administrative Support :
Provide independent, confidential administrative support to the Student Health Services (SHS) Executive Director.
Serve as the primary point of contact between the Director and internal / external stakeholders, institutional departments, and the public.
Manage and maintain the Director's active calendar, including day-to-day scheduling, long-term management of meetings, teleconferences, and priority prioritization.
Screen and direct all incoming calls; compose and prepare confidential correspondence, emails, memos, and travel documentation.
Transcribe and distribute minutes for the Executive Council meetings and assist the Medical Director with limited scheduling and meeting preparation as needed.
Coordinate administrative activities and communication between the Director and direct reports.
Operational Oversight and Compliance :
Serve as a member of the Executive Council and contribute to high-level decision-making.
Provide oversight of administrative files, personnel records, and job descriptions to ensure continuous compliance with AAAHC standards and SHS policies / procedures.
Balance conflicting priorities, manage workflow, and ensure the timely completion of essential projects to meet critical deadlines.
Manage and audit SHS timekeeping, assisting supervisors with reviewing and submitting accurate timesheets by established deadlines, and editing entries for unmatched time or leave records.
Aid in the review and revision of SHS policies and procedures to maintain AAAHC compliance.
Maintain a working knowledge of and ability to interpret policies and procedures of the University, Board of Trustees, AAAHC, and other relevant departments.
Manage the creation of departmental and administrative organizational email accounts.
HR and Staff Supervision Partnership.
Partner with the HR Manager in the joint supervision of the administration front desk reception staff, overseeing workflow, setting performance goals, assigning tasks, and providing constructive coaching.
Provide back-up support to the HR Manager for various HR functions, including new employee orientation, processing confidential Worker's Compensation claims, and maintaining annual performance appraisal records.
Facilitate confidential HR communications and assist staff with inquiries regarding university policies and procedures.
In collaboration with the HR Manager, oversee the Federal Work Study program, managing required documentation (schedules / awards), tracking eligibility and award usage, and communicating updates to departmental supervisors.
Minimum Qualifications :
Bachelor's degree or Master's degree and 4+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6) .
Preferred Qualifications :
Administrative experience, preferably supporting executive leadership.
Proficiency in Microsoft Office Suite and calendar management.
Experience in a healthcare and / or academic setting.
Understanding of FERPA, HIPAA, confidentiality protocols and accreditation processes.
Experience with general HR support functions, including timekeeping, on-boarding, and employee files management.

The anticipated salary range for this position is $48,722 to $54,183. The final salary will be determined based on the candidate's qualifications, experience, and internal equity considerations.
