ORGANIZATION OVERVIEW :
The Central Indiana Corporate Partnership (CICP) together with the supporting CICP Foundation was formed in 1999 to bring together the chief executives of Central Indianas prominent corporations foundations and universities in a strategic and collaborative effort dedicated to the regions continued prosperity and growth. CICPs mission is to transform the economy of Indiana in order to create a sustainable prosperity and quality of life for our citizens and future generations.
To advance this mission CICP sponsors five key talent and industry sector initiatives Agrinovus Indiana Ascend Indiana BioCrossroads Conexus Indiana and TechPoint each of which addresses challenges and opportunities unique to its respective area : agbiosciences talent and workforce development life sciences advanced manufacturing and logistics and technology. CICP also sponsors strategic initiatives AnaltyixIN and Business Equity for addition to its branded and strategic initiatives CICP has spearheaded a number of strategic projects that are advancing the growth of Indianas economy and successfully incubated and launched the Indiana Biosciences Research Institute the Battery Innovation Center and 16 Tech Community Corporation.
JOB OVERVIEW :
The Manager of Programs and Membership will support a variety of programs and initiatives undertaken by CICP providing logistical support for large meetings events and programming under the direction of the Vice President of Engagement. This team member will provide project management and implementation support to the CICP team on high priority initiatives projects research internal and external activities and events as assigned. Under the direction of the CEO and VP of Engagement this position will also act as liaison to the CICP Board of Directors and coordinate all Executive Committee and Board meetings and other CICP Board member events assisting in communications with the Board members and project group members as needed. The individual in this role must be able to handle a wide variety of activities and confidential matters with discretion while maintaining strong attention to detail excellent communication organizational and solid organizational and time management skills.
JOB RESPONSIBILITIES :
- Schedule and work with the VP of Engagement to coordinate all CICP Board meetings and Member programs (e.g. special Board member programs ) including all logistics for the meeting and the reception. Record minutes for all meetings and maintain the binders of minutes. Prepare follow up notes and track action items to support timely completion of next steps.
- Schedule and coordinate all Executive Committee meetings and other special committee meetings as needed. Record minutes for all meetings and maintain the binders of minutes.
- Coordinate CICP Membership; track membership contacts and histories of participation in Board meetings and other CICP-sponsored events; prepare membership dues invoices and engagement trends and surface gaps or risks to the VP of Engagement. Prepare periodic summaries of membership activity as requested.
- Assist in the preparation of pre-read materials for Board and Executive Committee meetings and distribute materials prior to meetings. Draft Board and Executive Committee meeting-related presentations communications including invitations reminders and follow up messages.
- Research and prepare profiles on potential new Board members prepare current member profiles for meetings with the CEO.
- Manage the CICP Salesforce database by entering new member data updating records when needed tracking attendance at meetings and programs dues payments etc. Run reports and maintain data accuracy through regular audits and updates.
- Support various CICP programs and special initiatives and events with coordinating invitations logistics note taking scheduling communications and other activities related to CICP membership and Engagement team programs as directed by the VP of Engagement. Provide on-site event support as needed. Create and maintain event timelines and vendor coordination lists to support smooth execution.
- Coordinate and organize the approval of and signatures on contracts for vendors related to Engagement functions. Assist in processing and tracking expenses related to special programs and initiatives coordinating payment with Accounts Payable in a timely manner.
- Assist in the coordination of Economic Club luncheons; contact with the Club guest invitations etc.
- Identify opportunities to streamline and improve the Program and Membership function.
- Other duties as requested.
QUALIFICATIONS :
Excellent organizational skills and strong attention to detail.Ability to manage multiple projects simultaneously and work well under pressure.High level of proficiency in the use of Microsoft Office programs including preparing polished documents and presentations.Strong writing and editing skills with the ability to prepare clear meeting notes summaries and communications for executive-level audiences.Experience coordinating complex schedules and managing multiple timelines or checklists.Ability to maintain accurate data across systems; experience managing or updating CRM tools such as Salesforce is a plus.Comfort working in a fast-paced environment with shifting priorities and frequent deadlines.Ability to handle confidential information with discretion and professionalism.Strong customer service mindset with an ability to build relationships with internal and external stakeholders.Experience supporting meetings or events including logistics communication and follow up.COMPETITIVE BENEFITS :
