Overview

The Accounts Payable (AP) Specialist will be a key member of Galaxy's centralized Finance & Accounting team, supporting our growing family of brands. This role will support the AP automation process through RAMP Bill Pay , ensuring timely and accurate vendor payments, onboarding new brands into the AP workflow, and maintaining vendor master data integrity within Sage Intacct . The AP Specialist will serve as a trusted partner to brand leadership, vendors, and the Galaxy corporate team by ensuring seamless AP operations, vendor compliance, and financial accuracy.

Key Responsibilities

• AP Automation & System Management
• Manage end-to-end AP automation processes through RAMP Bill Pay.
• Set up and onboard new brands into the RAMP AP system.
• Troubleshoot AP automation issues and serve as the primary contact for RAMP support.
• Vendor Management
• Process vendor invoices, match purchase orders / receipts, and ensure timely approval workflows.
• Prepare and schedule vendor payments in accordance with terms and cash-flow strategy.
• Coordinate and process vendor credit applications.
• Maintain strong relationships with vendors, resolving billing / payment inquiries promptly.
• Ensure compliance with Galaxy's vendor approval and onboarding policies.
• Master Data & System Integrity
• Create and maintain vendor master data records in Sage Intacct.
• Monitor and reconcile vendor accounts regularly to prevent discrepancies.
• Collaborate with Galaxy accounting and support staff at brand level to maintain accurate financial records.
• Process Excellence & Compliance
• Support monthly and year-end close processes by reconciling AP subledger to the general ledger.
• Ensure AP processes comply with GAAP, internal controls, and audit requirements.
• Identify opportunities to streamline and standardize AP workflows across brands.
• Maintain documentation for AP policies and procedures.
• Cross-Functional Support
• Partner with HR, Operations, and Finance leadership on vendor-related compliance needs (insurance, W-9's, etc.).
• Support ad hoc projects, including acquisition integrations, system migrations, and finance transformation initiatives.
