Job Description

The Administrative Manager is responsible for managing the day-to-day operations Managed Society Services, Inc. (MSSI), which oversees and operates 11 component associations. This role is responsible for maintaining efficient administrative systems, supporting membership and engagement efforts, assisting with budget development and expense monitoring, and delivering high-quality event and meeting support.

Key Responsibilities

Program & Administrative Support

  • Maintain and update the company calendar.
  • Schedule meetings using tools such as Doodle polls and Zoom.
  • Support department-wide productivity by tracking deadlines, tasks, and deliverables.
  • Provide administrative support to enhance communication and efficiency across the team.

Data Entry & Reporting

  • Enter and maintain accurate data in Raiser’s Edge and related systems.
  • Generate reports to support membership, finance, and program functions.
  • Ensure integrity, accuracy, and confidentiality of member and financial records.
  • Financial & Budget Support

  • Assist with developing financial budgets for managed associations.
  • Track department and project expenses to help ensure adherence to approved budgets.
  • Membership Support

  • Assist with membership invoicing, processing, and specialty society dues invoicing.
  • Respond to inquiries from members, prospective members, and volunteer leadership.
  • Residents & Students

  • Communicate with program directors and coordinators of residency programs for specialty societies.
  • Collect and maintain updated information for residents, fellows, and medical students.
  • Meetings & Events

  • Support meeting planners with conference and event logistics.
  • Provide onsite support for registration and logistics as needed.
  • Qualifications

  • Associate or Bachelor’s degree in business, communications, computer science, or a related field, or equivalent experience / training.
  • Background in business or association management; association management experience strongly preferred.
  • Demonstrated success in data entry, reporting, membership marketing, conference / event support, and financial tracking.
  • Ability to coordinate multiple priorities, solve problems, and meet deadlines in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Experience with Microsoft Teams.
  • Familiarity with Raiser’s Edge, NetCommunity, WordPress, and Cvent is a plus.
  • Strong organizational and project management skills.
  • Excellent written and verbal communication.
  • High attention to detail and accuracy.
  • Ability to work collaboratively and independently.
