We’re seeking a Construction Administrative Assistant to support bid preparation , certified payroll, compliance, and office operations in a fast-paced construction setting.

Responsibilities
Office & Project Organization
- Maintain and organize physical and digital project folders for bids, contracts, and completed jobs.
- Order office supplies and maintain general workspace organization
- Keep active project and contract lists up to date weekly.
Certified Payroll & Reporting
Submit Certified Payrolls (CPR) for all active public projects.Gather CPRs from subcontractors and submit with PGC’s CPR to clients.File copies digitally in job folders and mail / email transmittals as required.Submit CPRs through the NJ Wage Hub and file monthly AA-202 forms with clients and the NJ Department of Labor.Bid Management
Create bid folders and maintain entries in the bid tracker.Review bid specifications and extract required bid forms, insurance, and bonding requirements.Request insurance certificates and bid bonds through designated brokers and agencies.Prepare and assemble complete bid packages, including contractor / subcontractor documentation, for signature and submission.Track bid results, update internal systems, and manage follow-ups.Project Setup & Close-Out
Transition awarded bids to contract folders and update job listings and bond spreadsheets.Coordinate with accounting and project teams to ensure documentation accuracy.Verify that all completed job documents are scanned and saved before closing files.Subcontractor Compliance
Maintain and update subcontractor profiles with expiration dates for insurance, certifications, and other required documents.Request updated certificates as expiration dates approach to maintain bid eligibility.Mark-Out Coordination
Run and track utility mark-outs; update mark-out spreadsheet weekly to ensure validity prior to job starts.Qualifications
2+ years administrative experience (construction office preferred).Strong attention to detail, organization, and follow-through.Proficient in Microsoft Word, Excel, and Outlook.Experience with QuickBooks, Foundation, CompanyCam a plus.Familiar with public works documentation, bonding, and certified payroll highly preferred.Benefits
